DUTIES AND RESPONSIBILITIES
The contractor will oversee several phases of the migration process:
Pre-Migration Phase:
1. Assessment and Planning: Collect client requirements (data types, user roles), assess current infrastructure, and develop a detailed project plan with timelines and risk management strategies;
2. Environment Preparation: Collaborate with IT to set up the target environment, ensuring proper licensing, security, and compliance;
3. Risk Management: Identify risks and ensure backup/recovery plans are in place.
Migration Phase:
1. Data Migration: Migrate email, calendar, files (OneDrive, SharePoint, Teams), user profiles, applications (Power BI, PowerApps), and groups/sites;
2. Configuration Migration: Adjust policies, permissions, and roles to the new tenant while configuring SharePoint and DNS settings.
Post-Migration Phase:
1. Validation and Testing: Verify data integrity and functionality through User Acceptance Testing (UAT);
2. Issue Resolution: Troubleshoot problems and provide support;
3. Documentation and Training: Document the migration process and train IT staff and end-users;
4. Project Closure: Conduct a final review, hand over documents, and collect feedback.
DELIVERABLES AT THE END OF THE CONTRACT:
1. Project Plan: A detailed document outlining the scope, timeline, milestones, and resource allocation;
2. Migration Strategy: Comprehensive guidelines for the migration, covering tools and methodologies;
3. Risk Assessment and Mitigation Plan: A report identifying potential risks and mitigation strategies;
4. Communication Plan: A plan to ensure stakeholders are regularly updated throughout the migration;
5. Pre-Migration Assessment: A report on the state of both tenants, including user and application inventories;
6. Environment Preparation: Completion of target tenant setup, including domain, security, licensing, and network configurations;
7. Data Mapping and Transformation Plan: A detailed plan to map users and data, handling any conflicts or duplicates;
8. Migration Tools Setup: Configuration and testing of the tools and scripts for migration;
9. Pilot Migration: A test migration of a subset of users and data to validate the migration process;
10. Full Migration Execution: Successful migration of user accounts, mailboxes, OneDrive, SharePoint, Teams data, and applications;
11. Post-Migration Validation: A report confirming the success of the migration and testing of key functionalities;
12. User Training and Support: Training sessions and materials for users, along with a post-migration support plan;
13. Documentation: Detailed documentation of the entire process, including strategies, tools, and configurations;
14. Knowledge Transfer: Sessions to ensure the client's IT team can manage the new tenant environment;
15. Project Closure Report: A final summary of the migration process, highlighting achievements, lessons learned, and future recommendations. QUALIFICATIONS
Education
Bachelor's degree in Information Technology, Computer Science, or a related field.
Experience
- A minimum of 5 years of professional experience in IT infrastructure and systems administration, with at least 3 years focused on Microsoft 365 environments.
- Proven experience in performing tenant-to-tenant migrations, including planning, execution, and post-migration support for small to mid-sized organizations (migrations for 20-50 users preferred).
- Demonstrated experience in managing a single-event migration, ensuring minimal disruption to users and no rebranding.
Other requirements
Relevant certifications such as Microsoft Certified: Azure Administrator Associate, Microsoft 365 Certified: Fundamentals, or similar are highly preferred.
Languages
Excellent knowledge of English (both oral and written). Knowledge of other official languages of WMO would be an advantage.
