Terms of ReferenceThe Digital Workplace project is looking at current internal applications its content and communication channels to transform the user experience - creating an intelligent, relevant, and targeted experience to achieve the expected outcomes, an enhanced platform to engage and collaborate on business specific processes, issues and priorities at the unit, section, service, community and global layers of the organisation.
The Digital Workplace and Knowledge Unit manages these spaces and one big project in 2022 – 2024 is to replace the current intranet with a more dynamic personalised Digital workplace experience driven by SharePoint, Teams, Viva Engage and other Microsoft technologies.
The contractor responsibility is to plan and design a workshop, based on the human centered design principles to
• Facilitate workshops with HQ, regions and operations
• To manage expectations
• And building a digital network throughout the organization that will act as champions for throughout the project
Contract dates: 01 Jan to 30 June 2024
Working arrangement: Full-time, 100%
OVERALL PURPOSE OF ASSIGNMENT:
Concise and detailed description of activities, including measurable outputs and delivery dates, impact indicators (what qualitative and quantitative results would be achieved upon completion of individual contract), performance indicators (time lines, value of the service rendered in relation to the cost, timeliness) and work plan:
January to March 2024 :
• Setting up of workshops and user tests to reconfirm the DW requirements.
• Identifying pain points and adjustments of the requirements
Outcome: Global workshops with users to finalize the needs for a Digital Workplace
April to June 2024
• Change & adoption plan for Digital Workplace
• Establishment of DW champions and network
Outcome: Internal engagement and Change management plan for the project
