1. Role and responsibilities
The purpose of the ICLA Technical Assistant position is to provide technical and administrative support in the daily implementation of ICLA projects within NRC area of operation.

Generic responsibilities
These responsibilities shall be the same for all positions with the same title. The responsibilities shall be short and essential. Details belong in the Work and Professional Development Plan.
1. Adhere to NRC policies, tools, handbooks and guidelines;
2. Assist a range of support with the implementation of the ICLA Programme portfolioย
according to plan of action;ย
3. Implements independently procedures and activities within own function or coreย
competency as delegated;
4. Responsible for organising and delivery of tasks in line with priorities and standards;
5. Develop and maintain knowledge of the specialist area of work in which technical assistanceย
and support is being provided, in order to be most effective in supporting the team;
6. Use initiative in day to day problem solving in line with agreed procedures, priorities andย
standards for the area of work;
7. Prepare and develop status reports as required by management;
8. Ensure proper filing of documents;
9. Promote and share ideas for improvement in your area of expertise.ย

Specific responsibilitiesย
These responsibilities shall be adapted to the particularities of the job location and context, phase of operation, strategic focus and type of programme intervention. This section shall be revised whenever a new employee is hired or the context changes significantly.
1. Context analysis and needs assessment:
ย
trends and other protection issues concerning the conflict-affected population, including IDPs; Contribute to formulating legal analysis and positions as requested.
2. Clerical support and redirection of the request for assistance:ย
ย
business letters;ย Provide secretarial support such as data entry of intake forms, taking minutes, drafting lettersย
and memoranda of understanding, recording of the incoming e-/mails and other relevantย
actions;ย Attend meetings, keep records thereof and report on the discussions and processes (ifย
relevant); Provide support with the preparation of meeting minutes, reports, background materials andย
other relevant documents, Power Point presentations, etc; Assist with receiving incoming calls from project participants/hotline and make outgoing callsย
to the latter according to needs and perform other duties in the Legal Aid Center (if applicableย
and when necessary).
3. Translation of documents and Interpretation:ย
Support with translation of correspondence, documents (letters, Memoranda ofย
Understanding, Agreements and analytical notes) prepared by other ICLA team members fromย
English to Ukrainian/Russian and vice versa; Support with the interpretation of visitors/team members from English to Ukrainian and back
(if applicable and when necessary).ย

4. Information sharing and provision of the simple counselling services:
ย
registration or submitting applications to the DIA app or other digital platforms;ย Provision of the referral services and counselling to typical requests for assistance that doesย
not require advanced legal expertise (if applicable and when necessary).

5. Record keeping and management of the IEC materials storage:ย
ย
area by keeping records of brochures distributed and reporting on the progress of theย
dissemination campaign;ย Support with KoBo data transferring when requested; Ensure proper filing and storage of documents in accordance with internal standards andย
requirements for case management and record keeping.

6. Perform any other relevant duties as requested by the ICLA PM/PC.

โข Bachelor degree in Law (completed or final years student);

โข Fluency in Ukrainian, and Russian, both written and verbal;
โข Proven competence in business writing, research and analytical writing;

Context/ Specific skills, knowledge and experience:ย
โข Good knowledge of the context in Ukraine. Knowledge of the context in West Ukraine wouldย
be considered as an asset;
โข Advanced user of the office software (MS Word, Excel, PowerPoint) and hardware;
โข Experience of working in the field with displaced and/or vulnerable groups and communities;
โข Experience of delivering group information sessions, training session and other events wouldย
be considered as an asset;
โข Experience of community sensitization and handling complicate personalities would beย
considered as an asset;
โข Ability to write clearly and concisely;
โข Proven ability to analyze the legal, political and socio-economic context in Ukraine and collect,ย
process and analyze qualitative and quantitative data to inform context analysys and legal research;
โข Experience in using PowerBI, Kobo, MS Access, DIIA software programs and apps would beย
considered as advantage.
