IMF headquarters consists of three million square feet of space with extensive office, conference, and amenity spaces. The Facilities Officer will work closely with the Section Chief for Space Planning & Management to manage the transition to a hybrid workplace and the design of major capital projects. This includes working with internal stakeholders and vendor partners to develop feasibility studies and schematic designs for major capital projects such as cafeterias, visitor centers, and auditoriums. The Facilities Officer will also support leadership in the ongoing space management efforts across headquarters.

Main Duties and Responsibilities

  • Work with consultants and outside architecture teams to prepare comprehensive design packages for proposed projects.
  • Assist in preparing presentations for senior management.
  • Make recommendations for how the project aligns with Master Space Strategy.
  • Support the Section Chief in design leadership and business continuity on capital projects.
  • Work with Section Chief to bring new ideas to IMF informed by Industry Best Practices.
  • Assist Tenant Services in department reorganizations and intra and inter department move planning from a space efficiency perspective.
  • Prepare test fits and color-coded space plans to demonstrate proposed changes to space either through construction or reallocation of space.
  • Review and provide insight on communications strategies for new space projects.
  • Assist in maintenance and enhancements of standards for finishes throughout campus.
  • Work directly with departments as they plan for implementation of new design standards. This includes space planning and help with running scenarios for different policy approaches.
  • Track each departments progress as they move through the decision-making process.
  • Document decisions and follow-up required during department meetings. Follow up on outstanding issues.
  • Prepare presentations to assist in reporting progress and tracking effectiveness.
  • Work with the Section Chief and Management to revisit space policies and make recommendations for changes due to hybrid work. Help draft new policies as needed.
  • Liaison with the construction management team and other departments to coordinate the various activities above, follow up, and drive projects to completion.

    Qualifications

    • Educational development, typically acquired by the completion of a relevant advanced university degree, or equivalent in Architecture or Interior Design, Real Estate, Facilities, Hospitality or Design and Construction field; or a bachelor's degree, supplemented by a minimum of six years of relevant professional experience in Real Estate, Facilities, Hospitality or Design and Construction field, is required.
      • An intermediate or better understanding of CAD or Revit.
      • Proficiency in Microsoft suite including Word, PowerPoint, and Excel.
      • Experience working in design field in the US, overseas experience is a bonus.
      • Experience with large capital projects such as those stated above is a bonus.
      • Canva and/or Photoshop experience is a bonus.
      • Certification or licensure in architecture, design, or sustainability is a bonus.

        In addition to the qualifications above the successful candidate should have the following:

        • The candidate should show creative thinking, the ability to self-motivate and work individually as well as with teams in a professional environment.
        • The ability to balance many projects at one time while meeting all deadlines and keeping work organized.
        • Exceptional interpersonal, communication, and customer service skills with the ability to explain 2-dimensional plans and the design process to people not in the field.
        • Experience with all phases of a commercial interior architecture project, especially on the early phases such as programming, test fits, space planning, and schematic design. Commercial work is preferred.
        • Demonstrated experience working with inhouse vendors and outsourced consultants to create a complete and comprehensive design presentation.
        • Excellent technical writing skills and proven track record of statement of work (SOW) writing capabilities.
        • Ability to manage contracts with vendors/contractors by assigning tasks and communicating expected deliverables.
