Project Background

USAID End Tuberculosis Tajikistan Activity is a five-year project funded by the U.S. Agency for International Development (USAID). USAID End Tuberculosis Tajikistan Activity aims to reduce the burden of TB in the Republic of Tajikistan. The project activity results are focuses on improving case detection and notification for all forms of TB, increasing the number of patients cured of all forms of TB, strengthening TB prevention by expanded preventive treatment and improved infection prevention and control (IPC) interventions, and strengthening TB system resilience/reliance in public health emergency.

The Project Assistant will provide coordination support for program implementation of the USAID End Tuberculosis Tajikistan Activity. Reporting to the FHI 360 Tajikistan Chief of Party, s/he will be responsible for assisting the project team in project related activities, ensuring smooth operations of the project and consistency of project implementation with FHI 360 rules and regulations. Provides quality support to the preparation and logistical issues for organizing of project events (seminars, workshops, meetings and trainings). S/he will support the development of deliverables and reports for the project and ensure timely, quality submissions. S/he will work with projectsโ€™ technical teams, finance and operations department, and program department. The position is open to Tajik residents or residents with legal authorization already living in Tajikistan.

Position Responsibilities

  • Assist project management in the development of project documents, workplans, and etc.;
  • Assist the program unit and work closely with Finance and Operations team to track performance project timelines, objectives, and deliverables;
  • Maintain the planning of technical assistance for target facilities, sites and government entities, as needed; support in development and coordination of planning consultantโ€™s needs for the Program Technical Team, participate in consultants selection panels when required.
  • Prepare meeting minutes, prepare protocols, follow-up on action points following meetings;
  • Maintain up-to-date files and records of project documentation;
  • Support meeting/event participants on preparation of the Authorization for Domestic Travels, Expense Authorization Form, Travel Expense Reports (TER), and other required documents as per FHI360 travel policy requirements;
  • Timely collect and check for conformity of all participants supportive documents related to travel expenses;
  • Assist project team with project-related travel arrangements;
  • Support the elaboration of projects related Terms of Reference/Scope of work;
  • Ensure timely and accurate record keeping of the documents for conducted events;
  • Prepare Purchase Request Form (PRF) for events and project needs;
  • Prepare requisitions and receipts in DPA system for program related requests;
  • Support COP and DCOP on scheduling meetings, taking notes during the meeting, identify and ensure that meeting needs are met.
  • Perform other relevant duties as assigned.

    Qualifications

    • University degree, preferably in administration, social sciences, international relations, law or related area.
    • At least 2 years of relevant work experience in project assistance, office management or operations sections of international organizations;
    • Computer skills at the level of an experienced user (MS Word, Excel, Power Point, Outlook);
    • Excellent written and oral communication skills;
    • Ability to work well with others and to develop and promote positive interactions among project partners, staff, sub-partners, consultants, and recipients of assistance;

      Language requirements

      • Fluency in Tajik, English languages are required.

            Travel Requirements:

            • 5-10%, mostly within Tajikistan
