Position Title: Private Sector Partnerships Coordinator
Reports to: Director of Private Sector Partnerships
Location: Employees in this role can work from our Boston, MA office, remotely within the U.S. or hybrid of these two options.

General Responsibilities
The Coordinator serves as an integral part of the Private Sector Partnerships (PSP) team, which leads organizational engagement with foundation and corporate partners. Primary responsibilities include providing overall coordination of the administrative systems of the PSP team, developing high-quality supporting materials for multiple proposal and report deadlines, managing the process for grant and partnership agreements and donor acknowledgements, and ensuring effective coordination with other departments. The Coordinator will also develop and manage regular Salesforce reports, maintain Salesforce and other donor and partner records, proofread donor and partner submissions, prepare briefing materials for donor and partner visits, support prospecting for new opportunities, facilitate meeting and travel planning, and provide general administrative support for the team. The position offers a great opportunity to learn about institutional partner fundraising and partnership management.
Specific Responsibilities
Data systems and tracking (40%)
- Support overall coordination of the administrative systems of the PSP team. This includes identifying and implementing ways to improve administrative systems and engaging team members in the development of new or improved systems.
- Draft and manage protocols for record keeping and data audits.
- Provide data entry support and maintain data audit processes to ensure the accuracy, safeguarding, consistency of confidential private sector donor and partner records in the PIH Constituent Relationship Management (CRM) system (Salesforce), as well as other system files for each funder. Serve as team lead for CRM troubleshooting and problem-solving.
- In coordination with Development Operations, finance, and Private Sector team leadership, create, manage, and track key donor deadlines and team metrics; and support creation of detailed revenue reports. Assist with the development of new or modified reports as needed.
- Support team expense reporting and reconciliation.
Coordination and administrative tasks (35%)
- Develop and manage donor engagement lists and event invitations.
- Draft & send acknowledgement letters for all PSP grant payments and gifts, coordinating with Relationship Managers as needed.
- Support regular communication and coordination with other teams within the resource generation branch.
- Coordinate scheduling, agendas, and logistics for internal and external meetings, conference calls, conferences, partner meetings, and site visits.
- Perform other related tasks and special projects as assigned to support the overall functioning of the private sector partnerships team.
Proposal Support & Donor Engagement (25%)
- Coordinate the processing of grant and partnership agreements and gifts. In coordination with relationship managers, draft emails and other correspondence when necessary.
- Support development of donor engagement emails, pitch decks, and concept notes. Proofread proposals and reports.
- Prepare and ensure accuracy of supporting documents and financial information.
- Format and compile documents to ensure polished presentation and consistency with donor and partner guidelines.
Qualifications
- Bachelorโs degree and at least two yearsโ experience required, or a equivalent combination of education and experience.
- Demonstrated competence to assess priorities and manage a variety of activities in a time-sensitive environment and to meet deadlines, with flexibility and a strong attention to detail and quality.
- Ability to work independently to accomplish priorities.
- Demonstrated ability to handle confidential information with discretion.
- Excellent interpersonal skills required. Ability to interact professionally with culturally diverse staff and donors.
- Writing and proofreading skills. Experience with research a plus.
- Strong computer skills. Excellent skills in the functional use of Salesforce, Excel, PowerPoint, and Microsoft Word.
- Interest in health care and social justice.
- Interest in development and fundraising preferred.
