ORGANIZATIONAL CONTEXT

The Asset Management Unit (AMU) is part of the Management Service Division Infrastructure and Facilities Management branch (MSDI). AMU is responsible for providing all WFP offices with the necessary policies, guidance, tools to manage assets globally. Assets are essential to deliver our mandate to serve our beneficiaries. AMU is taking great strides in its new approach to responsible asset management through improved tracking, accounting, policy, guidance, capacity building and field support.
In addition, the Asset Management Unit provides daily support to users and works on various projects. Close monitoring of process efficiencies, data quality and collaboration with various stakeholders of the organisation play an important role in achieving the objectives of the unit.
As WFPโ€™s assets continue to grow in numbers and value, it is important to revisit some of the principles of and approaches to Asset Management. Processes are being streamlined and simplified, and the application and monitoring of internal controls need to be regularly evaluated. Therefore, a function providing operational review and analysis supporting audit reviews, monitoring of assets and optimising asset management processes has been established to address these requirements.

JOB PURPOSE

The AMU is currently seeking a Business Transformation Officer who will, amongst other things, provide strategic advice based on the qualitative and quantitative analysis carried out, prepare management reports, support activities relating to audit reviews, including following up on recommendations, as well as build and nurture relationships with business counterparts.
This position is suited for someone who can work both independently and in a team, has excellent analytical, problem-solving and organisational skills, and possesses the required knowledge and the structured approach to address complex situations in the area of asset management. The ideal candidate is impeccably structured and organised, technology-savvy, quick to learn new tools and to familiarise themselves with WFPโ€™s business processes.
This position is home-based, with occasional travel to Rome, where the unit is based.

KEY ACCOUNTABILITIES (not all-inclusive)

Within delegated authority and reporting directly to the Head of Asset Management Unit and ultimately to the Chief of the Infrastructure and Facilities Management Branch (MSDI), the Business Transformation Officer will be responsible for the following duties:

Support the development of functional work plans, ensuring compliance with wider WFP policies, standards, and strategies; Continuously improve guidelines, processes and procedures of MSD function Build and nurture relationships with the business counterparts to understand and anticipate the direction of the business and ensure alignment of the providerโ€™s solutions with changing business requirements and priorities. Participate in identifying business needs and propose well-researched ideas for new or improved systems, tools and processes that assist in meeting WFP objectives. Propose change and continuous operational improvement in support of business capabilities; Communicate business objectives, requirements, and process flows to ensure common understanding and prioritisation between stakeholders for their smooth implementation. Supporting activities relating to audit reviews, including following-up on recommendations; Providing strategic advice based on analysis (qualitative and quantitative) carried out; Upon request, developing and preparing internal reports for top-level, middle-level, and/or lower-level management, as well as drafting policy documents and guidance materials in collaboration with the Head of AMU and Global Asset Support team; Delivering on any other tasks assigned by the Head of Unit.

STANDARD MINIMUM QUALIFICATIONS

Education:
Advanced university degree in Business Economics, Business Administration, International Development, Management, or any other relevant field, or alternatively, primary University degree with additional years of related work experience or training /courses.

Experience:

Minimum five years of professionally relevant, post-graduate experience in a combination of asset management, finance, analysis & reporting, and/or project management; Demonstrated knowledge of rules and regulations, policies and procedures around Asset Management; Use of the Asset Management module of SAP or any other ERP systems and advanced knowledge of MS Excel; Running reports to analyse, interpret and monitor/reconcile data; Experience with the implementation of change management/transformation projects and management of team members in the context of an international organization; Demonstrated ability to collaborate with different stakeholders effectively; Familiarity with WFP operations and work environment is highly desirable.

Language:

Excellent command of spoken and written English is essential. Knowledge of a second official UN language: Arabic, Chinese, French, Russian, and Spanish is considered an asset.
