Role Overview:

The HR/Admin Coordinator is the most senior HR staff at the Area level and plays a crucial role in ensuring the effective implementation of HR and Administration functions within the North Area Office of Ukraine.ย 

Reporting to the Area Support Manager, this position is responsible for all aspects of HR Management, including recruitment, onboarding, performance management, compliance with NRC policies and Ukraine labor law, payroll administration and contract management. The HR/Admin Coordinator will provide guidance and support to line managers and HR staff in the area.ย

What You'll Do:

Develop the Area-specific HR SOPs and policies if needed. Ensure timely implementation of HR activities and dissemination of HR SOPs and policies at the Area office. Ensure that onboarding, inductions, performance management and exit procedures are implemented for all staff at the Area office. Advice and support line managers and staff with personnel queries in line with NRC SOPs and HR policies. Follow up on disciplinary measures/meetings, conflict management and participate in investigations as required. Ensure accurate and timely data is maintained in all NRC files (online and hard copies). Ensure national staff benefits including leave and health insurance are processed and tracked as per NRC procedures. Ensure recruitments at the Area office are processed and tracked as per NRC procedures. Provide personnel and recruitment reports as required. Closely work and coordinate activities with the country office team. Analyze the work and development plans and provide gaps analysis and training needs. Support line managers in procedures and provide the required HR training. Ensure that staff records in all offices in the area are up to date and filed appropriately. Manage the Area level Admin team. Other tasks as requested by the line manager.

Qualifications:

Bachelor's degree in Human Resources Management, Business Administration, or a related field. Minimum 3 years of experience working in HR, preferably 1-2 of them in a humanitarian organization Strong understanding of HR policies and procedures, with the ability to develop and implement HR SOPs and policies. Experience in onboarding, performance management, and exit procedures, ensuring compliance with Ukrainian labour law. Excellent communication and interpersonal skills, with the ability to advise and support line managers and staff on HR issues. Fluent in Ukrainian and English languages, both written and spoken. Ability to adapt to a fast-paced and dynamic work environment, with a proactive and solution-oriented approach.
