Within the Development department, the Development Operations team provides critical support to fundraisers through gift processing, data management and analysis, and responding to donor inquiries. We process, record and acknowledge each private donation made to Mercy Corps while providing valuable data to other Development and Marketing & Communications teams.
The Position The Gift Processing Coordinator performs the processing of daily donations into Mercy Corpsโ€™ donor database, with a focus on mass market direct mail, online, and monthly gifts, ensuring that all data entry is done in a timely and accurate fashion. They work closely with the rest of the Development Operations team and Mercy Corpsโ€™ partner vendors to expedite problem solving and handling of complex gift and data entry cases. They manage and update constituent data to Mercy Corps standards. The Gift Processing Coordinator backs up and cross trains with the Senior Coordinator, Major & Special Gifts.
Essential Job Responsibilities
GIFT PROCESSING AND CONSTITUENT RECORD UPDATES

Downloads donation transaction reports and files from various software and data sources; organizes, validates, and manipulates gift data in Excel and imports into The Raiserโ€™s Edge donor database, following precise processing rules and ensuring accuracy on a large scale. Guarantees correct gift coding (amount, appeal, fund, etc.) and provides specialized handling for more involved gifts including donor-advised funds, IRAs, and gifts with premiums. Works closely with a variety of Mercy Corpsโ€™ partner vendors, including telefundraising, donation processing center, and canvassing to communicate and help troubleshoot data and systems needs/issues. Serves as point person for monthly giving data and requirements for all monthly giving gift processing and records standards. Processes monthly giving signups and amount upgrades through the website, direct mail, telemarketing, and canvassing campaigns. Validates and imports monthly gifts on a regular schedule. Completes a variety of constituent and gift updates in The Raiserโ€™s Edge including solicit code requests, deceased notifications, chargebacks, and refunds. Effectively finds solutions to database problems that relate to gift and/or constituent records; provides expedited problem solving for complex gift and data entry questions from other team members. Completes tasks at Portland headquarters office once per week (up to twice per week on occasion) including opening, sorting, and forwarding donation mail to Mercy Corpsโ€™ national donation processing center. Maintains a working knowledge of all Development Operations data systems, including The Raiserโ€™s Edge donor database, Blackbaud Merchant Services, ActionKit online database, Braintree payment processing system, and others as necessary. Receives and processes payment card data in a PCI compliant manner; maintains familiarity with PCI requirements to support Development Operations processes. OTHER Creates and maintains documentation related to policies and procedures necessary to fulfill the position. Maintains donor confidence and protects Mercy Corpsโ€™ interests by keeping information confidential. Provides back-up phone coverage for the Donor Services team, especially during times of heavy call volume. Cross-trains with and backs up the Senior Coordinator, Major & Special Gifts, able to fill in for that position as needed. Contributes to team effort by accomplishing other duties as assigned.Supervisory ResponsibilityNone

Minimum Qualification & Transferable Skills
Previous experience in nonprofits preferred. Experience with The Raiserโ€™s Edge database or other donor database. Solid Microsoft Office Suite skills, including high comfort level in Excel. High detail orientation, especially with spreadsheets and reports. Strong data entry experience with superior accuracy and speed. Demonstrated ability to follow precise multi-step procedures, prioritize multiple complex tasks, and meet deadlines. Effective verbal and written communication, relationship building, teamwork, flexibility and grace under pressure. A college degree is desirable.Success Factors A successful candidate will be a versatile multi-tasker with the proven ability to organize and prioritize many urgent tasks, follow procedures, and meet deadlines. They will be committed to getting it right every time, creating procedures and documentation to replicate success with complex processes repeatedly. They will be interested in fundraising. They will have a demonstrated ability to communicate ideas, concerns and solutions with the Development Operations Manager and other team members of varied work styles. They will be able to work independently, and have demonstrated flexibility and creativity in planning and problem solving. A proven ability to learn quickly, take initiative and be accountable for results are important as well as an ability to understand the larger picture while remaining focused on the details, an even temperament, a good sense of humor and an awareness of and sensitivity to multi-cultural international development work.
Living Conditions / Environmental ConditionsBased in Portland, OR, United States. This position is expected to perform assigned tasks at the Portland headquarters office once per week (up to twice per week on occasion); otherwise, job responsibilities can be performed remotely.
