1. Role and responsibilities
The purpose of the Field Office Coordinator is to run the day-to-day support functions at a field office.
The following is a brief description of the role.
Generic responsibilities
- Manage support staff at the Field Office level.
- Manage day-to-day HR & Admin, Finance, Logistics and ICT tasks of the Field Office.
- Ensure adherence to NRC policies, handbooks, procedures and SOPs/guidelines.
- Coordinate & assist with budgets & costs for the Field Office shared costs & support functions.
- Provide support in the training and development of staff.
- Provide support to programme implementation at the Field Office level.
- Coordinate representation meetings with UN, partners and authorities as delegated by AM.
- Promote the rights of IDPs/returnees in line with the advocacy strategy.
Specific responsibilities
- ย Under the direct supervision of the Area Manager (AM) and with technical line management of the Area Support Manager (ASM), oversee consolidation of the NRC Field Office in Mykolaiv.
- In close coordination with the ASM and Odessa-based support function leads, ensure that NRC Finance, Logistics and HR rules and regulations are adequately and timely implemented in the NRC Field Office in Mykolaiv.
- Facilitate effective integration between Support departments and regular coordination between Support departments and Programme teams at the Field Office level.
- Organize and facilitate regular team meetings in the Field Office.
- Under the close supervision of the AM, represent NRC externally in Mykolaiv and liaise with local authorities (oblast civil-military administration, hromada administrations, etc.), UN agencies, other NGOs and support the teams in day-to-day access negotiation as per needs.
- Under AMโs overall supervision, ensure close collaboration with the HSS Coordinator in Odessa and support the security focal point based in the Field Office to ensure security protocols are applied and respected.
- Day-to-day approval of annual/sick/compassionate leave requested and monitoring daily attendance of all staff in the Field Office.ย
- Support other tasks related to this function as assigned by the AM.
