    Organization Setting and Reporting Relationship

    The position of Associate Workplace Management Administrator is assigned to the Workplace and Hospitality Division (CSWH) within the Corporate Services Department (CSD). You will be based at our Headquarters in Manila, Philippines.

    You will report to the designated International Staff and senior National Staff.

    Your Role

    As an Associate Workplace Management Administrator, you will: in compliance with internal and industry controls, guidelines, and codes, provide professional project management support (at operational levels) for the designated architectural design, Mechanical, Electrical, Plumbing, Fire Protection (MEPF) design and construction (new build, renovation, fit-out, alterations) projects at HQ or other designated locations. You will work in close liaison with CSWH’s space, operations, compliance, and hospitality services teams. You will also support the day-to-day monitoring of contracts and operations and performance of 3rd party professional service providers, including architectural design, MEPF and construction trade, and general contractor firms.

    You Will:

    · Provide operational support to the following key related activities for project planning and project requirement programming; risk assessments and feasibility studies; proposal development; planning; specification and validation of design and construction documentation; scheduling; budget estimation and tracking; procurement and bid evaluation; onsite supervision and controls, health and safety controls; quality assurance and controls; change order management; conflict reporting and resolution; vendor performance monitoring; contract administration assistance; code compliance and certification; stakeholder impact and experience support; communication dissemination, and; progress reporting.

    · Provide support to the advancement of Project Management services at ADB into best-in-class in terms of service offerings, user needs and experience, service and operational excellence, state of the art technologies, tools and processes, vendor performance, and value management.

    · Ensure industry standards, international and local code requirements, and best-practices are implemented and assist in the delivery of all assigned workplan, program work-streams, and projects per agreed scope, documented programming, and specification, sourcing strategy and process, schedule, budgets, and stakeholder experience.

    · Provide project management functional and technical input and assist in the validation for assigned projects and related office-based and onsite operations and controls.

    · Monitor the contractual and onsite operations and performance tracking of the 3rd party service providers.

    · Support ADB functional, service, and project managers in engaging and influencing internal stakeholders and coordinate the change process for the adoption of established and newly developed projects, services, standards, and guidelines.

    · Ensure client-service issues are resolved promptly and effectively.

    · Provide clear and timely reporting to the designated International Staff and other senior officers, as required, as well as maintain effective collaboration with all team members.

    · Perform other duties as may be assigned and reflected in the incumbent’s workplan.

    Qualifications

    You will need:

    • Bachelor’s degree in engineering (Mechanical or Electrical is advantageous); with registered professional accreditation preferred.

    • At least 5 years’ relevant work experience in a similar position, in building project management and MEPF design review.

    • Solid knowledge, expertise, and skills in latest project management methodologies and best-practices, ideally gained at international development organizations or similar reputable organizations.

    • Strong analytical, technical, interpersonal, and stakeholder interface skills, ideally developed in a multi-cultural business environment.

    • Solid awareness of the principles and practices for managing budgets, contracts, and vendors.

    • Excellent written, verbal communication and creative presentation skills in English.

    • Working knowledge and experience in standard computer software programs and information technologies.
