The position of Operations Assistant is assigned to the Fragility and Engagement Division (CCFE) within the Climate Change and Sustainable Development Department (CCSD). CCSD leads thematic operations, knowledge innovation, and partnerships. You will be based at our Headquarters in Manila, Philippines.You will report to the Unit Head of the Fragile and Conflict Affected Situations (FCAS) and Small Island Developing States (SIDS) Unit of CCFE, support the work of other CCFE units and the broader division as needed.
Your Role
As an Operations Assistant, you will provide technical and administrative support to ensure efficient and effective division operations. This includes dedicated support to the FCAS and SIDS Unit and its work streams, plus general support and assistance for budget and technical assistance (TA), travel and logistics, document preparation, knowledge management, partnerships and engagement, meetings and events, and general coordination and administration.
You will:
โ Support the FCAS and SIDS Unit in the effective and efficient delivery of its institutional mandate in line with ADB policies and protocols.
โ Support budget and TA management including support for consultant recruitment and management.
โ Provide mission travel arrangements and other logistics support.
โ Provide logistical support for the planning and coordination of knowledge and learning events and activities to ensure smooth delivery.
โ Support quality assurance review of documents, communications, and presentations to ensure adherence to ADB standards.
โ Arrange and coordinate meetings with internal and external clients.
โ Provide support to partnership and engagement activities.
โ Ensure regular coordination and communication within the division and department and with other clients .
โ Perform other duties as may be required in the annual work plan.Qualifications
You will need:
โ Bachelor degree in business administration, management, information technology, communications, or other relevant fields. Alternatively, a university degree in related fields combined with additional relevant professional experience can be considered.
โ At least 5 years of relevant professional experience, preferably in a development or international organization with multi-cultural setting.
โ Written, verbal, and presentation proficiency in English.
โ Advanced competencies in organizational coordination, logistics, and administration.
โ Ability to work with minimal supervision, in a diverse and fast-moving organizational context.

Additional Information
This appointment is open to internal and external applicants.
This is a fixed term appointment with option to renew, initially for a period of up to 3 years, or up to the Normal Retirement Date (NRD), whichever comes earlier, for the purpose(s) and conditions determined by ADB, in accordance with Administrative Order No. 2.01 (Recruitment and Appointment). After the initial fixed-term period, ADB may choose to renew the appointment for up to an additional 3 years or not renewed. This decision will be made in the overall interest of ADB, based on factors including but not limited to the requirement of Staff's particular blend of skills and experience for the medium-term work program of the organizational unit, sufficient funding to cover the renewed period, and Staff's performance and suitability for employment. There is no limit to the number of renewals up to NRD. However, this appointment is not convertible to a regular appointment.
