Organizational Setting and Reporting Relationship
The position of Operations Assistant is assigned to the Mongolia Resident Mission (MNRM) within the East Asia Department (EARD). You will be based at our Resident Mission Office in Ulaanbaatar, Mongolia.
You will report to designated international staff and officer.
Your Role
As an Operations Assistant, you will perform administrative and operational support services for various activities to support assigned initiatives or projects of the division. You will also be tasked to coordinate knowledge dissemination activities, database management, and other administrative and operational functions.
You will:
- Support efficient management of Technical Assistance (TAs) and staff consultants in relation to claims and other consultants' issues as well as in documentation for short-listing and processing of contract variations.
- Coordinate with project teams for mission preparation (Terms Of References, mission proposal and concurrence letter and schedules) and coordinate with other Resident Missions/Headquarters for other logistics arrangements such as visa applications, hotel, transportation site visits, etc.
- Help review, analyze, and consolidate project operations outputs in the preparation of assigned plans, programs, and reports to ensure accuracy and consistency.
- Help update, and monitor the division's logging system, and in back-to-office reports (BTORs) of assigned operations.
- Collaborate with other operations assistants for the daily routine administrative tasks to support the various units.
- Help develop and maintain the documentation, databases and computer requirements following ADB procedures for electronic and physical filing, including support for project operations and business processes.
- Input data, review and update monitoring reports to databases, support monitoring reports circulation.
- Provide backup support for other operations assistants, receptionist and perform other tasks as may be assigned and reflected in your workplan.
Qualifications
You will need:
- Bachelor's degree in business administration, psychology, accounting, human resources, public administration, social sciences, or any related fields
- At least 5 years of relevant work experience
- Proficiency in MS Office (Outlook, Word, Excel, and PowerPoint, SharePoint)
- Familiarity with videoconferencing tools (MS Teams, Zoom, Webex)
- Good memo composition and editing skills
- Work with individuals from different cultural/national/professional backgrounds
- Work collaboratively with teams as a constructive team member
- Excellent oral and writing skills in English.

Additional Information
This is a fixed term appointment with option to renew, initially for a period of up to 3 years, or up to the Normal Retirement Date (NRD), whichever comes earlier, for the purpose(s) and conditions determined by ADB, in accordance with Administrative Order No. 2.01 (Recruitment and Appointment). After the initial fixed-term period, ADB may choose to renew the appointment for up to an additional 3 years or not renewed. This decision will be made in the overall interest of ADB, based on factors including but not limited to the requirement of Staff's particular blend of skills and experience for the medium-term work program of the organizational unit, sufficient funding to cover the renewed period, and Staff's performance and suitability for employment. There is no limit to the number of renewals up to NRD. However, this appointment is not convertible to a regular appointment.
This opening is a local staff position. It is open only to nationals and permanent residents of Mongolia.
Multiple positions at various grades may be filled from this opening.
