    Organizational Setting and Reporting Relationship

    The position of Operations Assistant is assigned to the Mongolia Resident Mission (MNRM) within the East Asia Department (EARD). You will be based at our Resident Mission Office in Ulaanbaatar, Mongolia.

    You will report to designated international staff and officer.

    Your Role

    As an Operations Assistant, you will perform administrative and operational support services for various activities to support assigned initiatives or projects of the division. You will also be tasked to coordinate knowledge dissemination activities, database management, and other administrative and operational functions.

    You will:

    • Support efficient management of Technical Assistance (TAs) and staff consultants in relation to claims and other consultants' issues as well as in documentation for short-listing and processing of contract variations.
    • Coordinate with project teams for mission preparation (Terms Of References, mission proposal and concurrence letter and schedules) and coordinate with other Resident Missions/Headquarters for other logistics arrangements such as visa applications, hotel, transportation site visits, etc.
    • Help review, analyze, and consolidate project operations outputs in the preparation of assigned plans, programs, and reports to ensure accuracy and consistency.
    • Help update, and monitor the division's logging system, and in back-to-office reports (BTORs) of assigned operations.
    • Collaborate with other operations assistants for the daily routine administrative tasks to support the various units.
    • Help develop and maintain the documentation, databases and computer requirements following ADB procedures for electronic and physical filing, including support for project operations and business processes.
    • Input data, review and update monitoring reports to databases, support monitoring reports circulation.
    • Provide backup support for other operations assistants, receptionist and perform other tasks as may be assigned and reflected in your workplan.
