Org. Setting and ReportingThis position is located in the regional political-operational structure of the Departments of Political and Peacebuilding Affairs and Peace Operations (DPPA-DPO) in the Central and Southern Africa Division (CSAD), Democratic Republic of the Congo Integrated Operational Team (DRC IOT). The DRC IOT provides strategic guidance and political and operational support for the United Nations Organization Stabilization Mission in the Democratic Republic of the Congo (MONUSCO) and maintains contact with the Security Council, troop and financial contributors, civil society organizations, bilateral and multilateral partners, parties to the conflict and others in the implementation of Security Council mandates. The incumbent reports to the Senior Political Affairs Officer in the DRC IOT. ResponsibilitiesWithin limits of delegated authority, the Team Assistant will be responsible for the following duties: โ€ข Performs, under minimal supervision, a wide range of team support and administrative functions, including virtually. โ€ข Plans and organizes workload and prioritizes tasks for timely results. โ€ข Supports the team in enhancing the provision of integrated, coordinated and comprehensive direction, management and support to MONUSCO. โ€ข Responds or drafts responses to routine correspondence and other communications; uses standard word processing package to produce a wide variety of large, complex documents and reports for senior officials and team members. โ€ข Monitors processes and schedules related to the teamโ€™s outputs, products, tasks, etc.; where applicable, assists in the verification of receipt and accuracy of requisite documents, approvals, signatures, etc., to ensure compliance with relevant legal, financial and other requirements. โ€ข Researches, compiles and organizes information and reference materials from various sources for reports, work plans, studies, briefings, meetings/conferences, etc. โ€ข Proofreads documents and edits texts for accuracy, grammar, punctuation and style, and for adherence to established standards for format. โ€ข Screens phone calls and visitors; responds to moderately complex information requests and inquiries (e.g. answers requests requiring file search, etc.), and, as necessary, refers inquiries to appropriate personnel for handling. โ€ข Provides secretarial, administrative and logistics support to meetings of the DRC IOT team and other offices, as needed. โ€ข Maintains calendar/schedules; monitors changes and communicates relevant information to appropriate staff inside and outside the DRC IOT. โ€ข Make visa arrangements and assist in making travel arrangements for the team leadership and officers within the DRC IOT. โ€ข Reviews, records, distributes and/or processes correspondence and other documents; follows up on pending actions. โ€ข Updates and maintains large distribution lists; monitors, prepares and distributes various materials, reports, where possible using electronic formats; handles arrangement for printing and translation as necessary; coordinates shipment arrangements, courier services, etc. โ€ข Performs general administrative tasks (e.g. leave and attendance recording, arrangements for meetings and other events, reservations, budget follow-up, etc.), to include preparing and/or processing administrative requests/documents (e.g. requisitions, purchase orders, travel requests, contracts, expenditure authorizations, visa applications, etc.). โ€ข Maintains files (both paper and electronic) and databases for work unit. โ€ข Assists in providing software and office equipment support. โ€ข Performs other duties as assigned. Experience with Enterprise Resource Planning (ERP) Systems and in the use of Unite Correspondence or similar correspondence management system is desirable. Experience working with or for high-level officials is desirable. LanguagesEnglish and French are the working languages of the United Nations Secretariat.
