Introduction
The mission of the Green Climate Fund is to assist developing countries to respond to climate change while bringing prosperity to their people.

Established in 2010, the GCF invests in transformational climate projects in the developing world. The Fund makes an ambitious contribution to global climate action and channels significant financial resources into developing countries to help build low-emission and climate-resilient societies. It is country-driven and undertakes actions that reflect the circumstances of each country concerned and its national aspirations. The GCF is a key enabler of the 2015 Paris Agreement on Climate Change.

Since its establishment, the GCF has approved 216 projects in 129 countries and has committed USD 12.0 billion in climate finance. In addition, it has built up an extensive program to support developing countries to identify their needs, in particular, those who are most vulnerable to climate change impacts.

Position Objective

The Senior Team Assistant of External Affairs, reporting to the Director of External Affairs, is responsible for providing overall support to the administrative, human resource and budget-related activities of the Division. S/he will ensure that the support team is organized with a clear division of tasks among its members and is responsive to the needs of the Division. S/he will also be supporting the development and implementation of the External Affairs strategy.

Purpose

Provide consistent and timely support to the Director and the Division by overseeing various administrative, human resources, budgetary, and Communications/RMSR procurement tasks and serve as primary point of contact for the Division of External Affairs (DEA), communicating with other divisions/offices as needed to facilitate effective cross-functional collaboration.

Facilitate efficient coordination and delivery of communications and administrative support for the units within the Division. Oversee their activities to ensure timely output delivery and streamline operational processes.

Enhance data management functions by implementing improvements and operationalizing effective strategies to optimize data handling within the Division

Engagement

Identify and recommend key areas for the Directorโ€™s attention for his/her managerial role, then communicate messages on behalf of the Director to the team and cross-divisionally for internal flow of information.

Enhance internal coordination, communication, and systems within the DEA and across the Secretariat, particularly focusing on partnership-related initiatives. Serve as a central point of contact for coordinating invitations on behalf of the Secretariat.

Coordinate and manage cross-divisional inputs into the Executive Teamโ€™s engagement plan and the tracking system for missions/events organized by DEA-OED, ensuring seamless collaboration and information exchange across divisions.

Delivery

Oversee correspondence and communications to both internal and external contacts to adhere strictly to standard established with GCF Correspondence guidelines, identifying and advising on opportunities to improve procedures in practice, and providing training and guidance.

Demonstrate high standards of quality, timeliness, and integrity in undertaking various activities and delivering outputs, including preparation of key documents, development of presentations, drafting official correspondence, analytical reports, and other necessary products.

Develop guidelines or manuals for administration-related matters and centrally manage official records files and information materials.

Requirements (Education, experience, technical competencies required of the job)

Bachelorโ€™s degree, with at least 7 years of relevant experience or equivalent combination of relevant education and experience within the public and/or private sector;

Experience in handling logistics for events, workshops, conferences and Board meetings;

At least 3 years of supervisory experience in a similar office setting preferred;

Previous experience supporting larger teams is required;

Formal training in secretarial, clerical, administrative, and/or operational services desirable;

Strong teamwork and interpersonal skills, and highly developed cultural sensitivity in communicating with all levels of staff and external clients, both orally and in writing;

Excellent knowledge of MS office package, and experience in working with databases is highly desirable; and

Fluency in English is essential; knowledge of local language and/or another United Nations language is an advantage.
