Do you want to be our new Reporting and Administrative Officer, working in the Field Operations (FO) Department, in NRCs Head Office?

The FO department consists of four sections and this position would sit in the Strategy, Innovation and Support (SIS) team, which employs staff supporting and leading on some workstreams in the Department, including Finance, Grants and Innovation, and is directly supporting the FO Director. ย 

The role

The Reporting and Admin Officer has delegated authority from the Head of Strategy, Innovation and Support, for providing administrative support to the Field Operations Department including coordination of reporting to the Board of Directors.

The role is responsible to support that the Field Operations (FO) department in Head Office delivers on administrative tasks both related to the Board of Directors and enabling T-processes with country, regional and Head Office Departments alongside other FO Department specific task

Responsibilities

Administrative support to the Triannual review system between Head Office and Regions and help produce relevant overviews, coordinate meeting points and documents to facilitate information sharing and decision making.ย Maintain and develop internal communications materials for relevant internal Sharepoint and Workplace sites (Field Operations, Innovation Service etc)โ€“ including content and lay-out in collaboration with the Department staff.Facilitate regular meetings such as the FO Management Team and FO Department meetings including note taking and assist with other meetings upon request.Provide administrative support to the Field Operations Department (such as drafting of documents, obtain Power of Attorney and Country Office registration documents, update of action item lists, updating relevant contact lists, signature tracker etc).Provide ad-hoc administrative support to Crisis Management Teams or Crisis Activation System of a temporary nature upon request.Coordinate input, quality check final documents from the Department and Regional offices to Board of Directors for final approval by FO Director and timely submission, including relevant country office fact sheets in collaboration with ExRel.ย Administrative support to seminars and meetings including negotiations with service providers.Support translations of relevant material in the Department through the framework agreement with the translation company.Carry out other duties of temporary character appointed by Director of Field Operation or Head of Strategy, Innovation and Support.
