Organizational context:

Every year, millions of men, women and children are forced to flee their homes to escape conflict and persecution. UNHCR currently operates in over 130 countries, using its long expertise to protect and care for millions.
The Middle East and North Africa region continues to face multiple and complex emergency situations on an unprecedented scale. In 2024, UNHCR protection efforts will focus on advocating for access to territory, protection from refoulment, registration, perseveration of protection space and available solutions, and protection from violence and exploitation. From the protection perspective, UNHCR strives to stay in touch with the communities it serves and to listen, collect and refer their voices and claims to maintain the dialogue and to answer to their various requests and expectations in terms of protection, procedure, material and financial needs.

The position

To ensure effective protection it is important that forcibly displaced and stateless persons can contact and access UNHCR, including via email to follow up on their concerns. Additionally, other stakeholders may also need to contact UNHCR for information. To meet such needs, the MENA Bureau operates a dedicated mailbox (MENA Individual Case Management Mailbox), which receives substantial communication each week directly from forcibly displaced and stateless persons, external actors, and other stakeholders. The queries typically relate to requests for protection and solutions interventions or relate to other forms of interventions such as material/financial assistance.
To respect the trust forcibly displaced and stateless persons other actors place in UNHCR by writing to the mailbox, it is important that MENA Protection Service appropriately follows up on the communications received. This ensures a clear overview of the concerns being raised, while also ensuring that relevant feedback is provided where possible.
The intern will focus on managing the mailbox by screening and following up on individual queries received by the mailbox. Under the close supervision of the Registration and Identity Management Officer, and in consultation with country operations, the intern will also explore options for making the mailbox system more effective. The intern will benefit from in-house training exclusive to UNHCR staff.

As needed, the intern will work closely with supervisor and the team to support in the scheduling, note-taking and tracking of periodic bilateral meetings, regional roundtables and workshops, ensuring a consistent and coherent approach.

Duties and responsibilities

Under the direct supervision of the Registration and Identity Management Officer, the Intern will be required to undertake the following:
โ€ข Ensure the Individual Case Management mailbox is checked each day and emails are filtered, referred and responded to, in line with the Standard Operating Procedures (SOPs);
โ€ข Share urgent requests with the Registration and Identity Management Officer Focal Point for the Mailbox, for necessary action;
โ€ข Ensure the Protection Contacts focal points is kept updated for each operation, to reflect any relevant changes in staffing and/or functions;
โ€ข Update on a regular basis the Tracking Tool excel sheet for the received e-mails;
โ€ข Draft Weekly and Monthly reports as per the guidance provided by the Registration Unitโ€™s practice reflecting analysis of trends;
โ€ข Work with thesupervisor and the team to ensure the Mailbox remains fit for purposes and efficient, in response to trends.
โ€ข Take part in online and in-house trainings;
โ€ข Support in the preparation and organization of the Workshops and webinars;
โ€ข Ensure regular bilateral meetings are scheduled and maintain a tracking sheet for pending issues, discussion points for follow up;
โ€ข Maintain comprehensive notes from meetings and workshops and,
โ€ข Support protection projects within MPS as required.

Minimum qualifications required

In order to be considered for an internship, candidates must meet the following eligibility criteria:
โ€ข Be either a recent graduate (having completed their studies within two years of applying) or a current student in a graduate/undergraduate school programme from a university or higher education facility accredited by IAU/UNESCO; and
โ€ข Have completed at least two years of undergraduate studies in a field relevant or of interest to the work of UNHCR. Organization particularly in Law, political science or human rights;
โ€ข Demonstrated interest in humanitarian work/ field; and
โ€ข Arabic and English are essential (Excellent level in Arabic and English, both reading and drafting).

Desirable qualifications and skills
โ€ข Knowledge in the field of refugees;
โ€ข Good knowledge of and experience working with Microsoft office tools;
โ€ข Knowledge of a third language.

Conditions
It is a full -time role with working hours starting from 9.00am to 5:00pm Sunday to Thursday (40 hours per week). The successful candidate will be assigned to support the team in the MENA RB Office.
Allowance: Interns who do not receive financial support from an outside party will receive an allowance to partially help to cover the cost of food, local transportation and living expenses.
