The Global Infrastructure Section is one of the four pillars of the Global Mobility and Infrastructure Service (GMIS) within the Division of Financial and Administrative Management (DFAM). The main objective of the Section is to ensure centrally coordinated office facilities management. Under this section operates the UNHCR Shop, which functions alongside the Public Outreach and Campaigns core work.

Th Shopโ€™s purpose is to procure, sell and dispatch core visibility and promotional items to UNHCR staff and operations worldwide. Its overall aim is to provide excellent service to colleagues, meet revenue expectations, mobilize further financial support to UNHCR, increase awareness and empathy for forcibly displaced people.

The UNHCR Shop is focusing on strong online presence embracing all features of an e-commerce business unit. The UNHCR Shop team is a cross-functional team; several functions are covered by the team itself such as sales, marketing, product development, customer care, logistics, while others are received as service from other departments or external partners. The UNHCR Shop intern will work directly for the UNHCR Shop.

All UNHCR staff members are accountable to perform their duties as reflected in their job description. They do so within their delegated authorities, in line with the regulatory framework of UNHCR which includes the UN Charter, UN Staff Regulations and Rules, UNHCR Policies and Administrative Instructions as well as relevant accountability frameworks. In addition, staff members are required to discharge their responsibilities in a manner consistent with the core, functional, cross-functional and managerial competencies and UNHCRโ€™s core values of professionalism, integrity and respect for diversity.

The position

The role of the UNHCR Shop Intern is to support the Shop team mainly in its tasks associated with Customer Service. This includes processing the orders, tracking shipments, answering inquiries and addressing issues related to these.
As a member of the Shop team, the incumbent will be part of an exciting journey in which the UNHCR Shop is being taken to the next level as a successful business entity and advocate of ethical commerce and sustainability.
The incumbent will have the opportunity to acquire:
โ€ข Knowledge on UNHCRโ€™s mandate, programs and activities at HQ and in the field.
โ€ข Knowledge on various operating procedures related to several connecting fields in UNHCR.
โ€ข Knowledge and hands on experience in global e-commerce with data-driven approach.
โ€ข Knowledge on international procurement and communications.

Duties and responsibilities

โ€ข Process incoming orders from the e-commerce platform in a timely manner by using criteria provided in the instructions.
โ€ข Actively liaising with customers, Accounting Team, fulfilment partner, courier companies and others to resolve any issues that may arise concerning the orders.
โ€ข Track shipments dispatched globally and address any concerns to emerge.
โ€ข Track all orders (globally dispatched and pick-up) and take action when needed to provide excellent customer service.
โ€ข Answer inquiries in a kind and professional manner.
โ€ข Support the team with brainstorming ideas and new approaches.
โ€ข Support the team with administrative tasks.
โ€ข Perform other duties as requested.

Area of work may be adapted in the course of the internship to better fit the internโ€™s interests and profile as well as the Sectionโ€™s needs.

Minimum qualifications required

In order to be considered for an internship, candidates must meet the following eligibility criteria:
โ€ข Be either a recent graduate (having completed their studies within two years of applying) or a current student in a graduate/undergraduate school programme from a university or higher education facility accredited by IAU/UNESCO; and
โ€ข Have completed at least two years of undergraduate studies in a field relevant or of interest to the work of UNHCR.

Please note that candidates who have immediate relatives (father, mother, son, daughter, brother or sister) working as staff members, including a Temporary Appointment holder or a member of the Affiliate Workforce of UNHCR are not eligible.

Recruitment as a UNHCR staff member and engagement under a UNHCR affiliate scheme or as an intern is subject to proof of full vaccination, independently of contract type and duration, unless the candidate is based in a location with documented lack of access to COVID-19 vaccines

Desirable qualifications and skills

The ideal candidate is an agile and focused person with great time management skills, who is articulated and able to find the proper tone when dealing with customers or stakeholders. The candidate should be comfortable working in a fast-paced and dynamic environment.

โ€ข Degree or specific studies in International Relations, Business Administration; Finance; or other closely relevant field.
โ€ข Excellent English oral and writing skills are required. Knowledge of Hungarian language is desirable. Working knowledge of a second UN official language is an asset.
โ€ข Familiarity or experience with Microsoft Office tools.
โ€ข Accountability, communication, teamwork and collaboration, commitment to continuous learning, client and result orientation skills.
โ€ข Planning and organizing competencies.

Location

The successful candidate will be based with in Budapest. However, remote work is also a possibility.
