Background

The Alliance of Bioversity International and the International Center for Tropical Agriculture (CIAT) delivers research-based solutions that harness agricultural biodiversity and sustainably transform food systems to improve people's lives. Alliance solutions address the global crises of malnutrition, climate change, biodiversity loss, and environmental degradation.

The Alliance hosts the CGIAR's Independent Advisory and Evaluation Service (IAES) which provides operational support as the secretariat for the Standing Panel on Impact Assessment (SPIA) and the Independent Science for Development Council (ISDC) and implements CGIAR's multi-year, independent evaluation plan as approved by the System Council.

IAES Evaluation Function will be implementing in 2024 the Science Group Cluster Evaluations, a major evaluative exercise that is a vital part of delivering the CGIAR 10-year strategy.

On behalf of IAES, the Alliance, which hosts IAES in its Rome, Italy office, is seeking a Temporary Assistant II to support the operational needs of the Science Group Cluster Evaluations.

Role

Based in Rome, Italy and under the supervision and guidance of the Evaluation Function Lead, the Temporary Assistant II will provide operational support to the Science Group Cluster Evaluation project. The incumbent will work in close collaboration with the other IAES functions, in particular the administration and finance team.

Key Responsibilities

More specifically, the Temporary Assistant II will:

Prepare contracting documents for evaluation consultants.
Check Evaluation Function email inbox regularly.
Draft correspondence.
Schedule meetings.
Assist in group meeting/event preparation, execution, and documentation preparation.
Take notes during meetings and edit transcriptions.
Liaise with vendors.

Requirements
Essential Qualifications and Competencies

Secondary school education supplemented by office training or related courses.
Degree in business administration or related field is highly desirable.
Previous relevant work experience (minimum 3 years) in administrative, office management activities in an international organization or international context is desirable.
Demonstrated knowledge of standard office administrative practices and procedures
Excellent written and oral communication skills in English.
Working proficiency (spoken and written) in Italian, is an asset.
Proficient computer skills and in-depth knowledge of MS Office suite (Including Word, PowerPoint, Excel, Teams and SharePoint) and willingness to learn additional online meetings, communications, and visualization software, as required.
Proven ability to adapt to fast-paced environment.
Strong interpersonal, communications, and teamwork skills; discretion, tact, and the ability to establish and maintain effective working relationships with people from different cultural and national backgrounds.
Well-developed skills in personal organization, priority setting, problem-solving, and accuracy

Terms of employment

This is a temporary support position, which will be based in Rome (Italy) on a hybrid work schedule.
The monthly salary will be EUR 3,281. The position will be for a period of 9 months.
