Org. Setting and ReportingThe Economic and Social Commission for Western Asia (ESCWA unescwa.org) forms part of the United Nations Secretariat and, like the other regional commissions, operates under the supervision of the United Nations Economic and Social Council. ESCWA comprises 21 Arab countries in Western Asia and North Africa. ESCWA provides a framework for the formulation and harmonization of sectoral policies for member countries, a platform for congress and coordination, a home for expertise and knowledge, and an information observatory. ESCWA activities are coordinated with the divisions and main offices of the Headquarters of the United Nations, specialized agencies, and international and regional organizations, including the League of Arab States and its subsidiary bodies, and the Gulf Cooperation Council. This post is located within the Resources Management and Service Development Division (RMSDD) of the Economic and Social Commission for Western Asia (ESCWA). The Team Assistant reports directly to the Procurement Officer. ResponsibilitiesWithin limits of delegated authority, the Team Assistant will be responsible for the following duties: โ€ข Provides procurement and administrative support to a team of Senior and Procurement Assistants in the acquisition of a wide variety of goods and services. โ€ข Produces Requests for Quotations. Prepares abstracts of offers and compiles data contained in quotations to determine which supplier can deliver the required goods/services at the best terms and lowest costs possible under the guidance of the Chief Procurement Officer. โ€ข Performs a wide range of office support and administrative functions. โ€ข Responds or drafts responses to routine correspondence and other communications; uses standard word processing package to produce a wide variety of large, complex documents and reports. โ€ข Monitors processes and schedules related the unitโ€™s outputs, products, tasks, etc.; where applicable, assists in the verification of receipt and accuracy of requisite documents, approvals, signatures, etc. to ensure compliance with relevant legal, financial and other requirements. โ€ข Researches, compiles and organizes information and reference materials from various sources for reports, work plans, studies, briefings, meetings/conferences, etc. โ€ข Generates a variety of standard statistical and other reports, work orders, etc., using various databases. โ€ข Screens phone calls and visitors; responds to moderately complex information requests and inquiries (e.g. answers requests requiring file search, etc.), and as necessary, refers inquiries to appropriate personnel for handling. โ€ข Provides secretarial, administrative and logistics support to meetings, boards, committees, conferences, etc. โ€ข Assists in the preparation of presentation materials using appropriate technology/software. โ€ข Maintains calendar/schedules; monitors changes and communicates relevant information to appropriate staff inside and outside the immediate work unit. โ€ข Performs data entry and extraction functions. โ€ข Reviews, records, distributes and/or processes mail and other documents; follows-up on impending actions. โ€ข Performs general administrative tasks (e.g. leave and attendance recording, arrangements for meetings and other events, reservations, budget follow-up, etc.), to include preparing and/or processing administrative requests/documents (e.g. requisitions, purchase orders, travel requests, contracts, expenditure authorizations, visa applications, etc โ€ข Maintains files (both paper and electronic) and databases for work unit. โ€ข Assists in providing software and office equipment support. โ€ข Assists with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making. โ€ข Performs other duties as assigned Competenciesโ€ข PROFESSIONALISM: Knowledge of administrative electronic tools, such as ERP. Work ExperienceA minimum of three (3) years of progressively responsible experience in administrative services is required. The minimum years of administrative experience is reduced to one for candidates who possess a first-level university degree or higher. A minimum of one (1) year of progressively responsible experience in procurement services is required. Knowledge working in a UN setting is desirable. Hands-on experience in supporting tender exercises for the procurement of various goods and services, particularly event management services in the Arab Region, is desirable. Experience working with Enterprise Resource Planning (ERP) systems such as SAP or similar systems is desirable. LanguagesEnglish and French are the working languages of the United Nations Secretariat. In addition, Arabic is a working language at ESCWA. For this position, fluency in English and Arabic is required. Knowledge of French is desirable. Note: \"Fluency\" equals a rating of 'fluent' in all four areas (speak, read, write, and understand) and \"Knowledge of\" equals a rating of 'confident' in two of the four areas.
