  1. Role and responsibilities

    The following is a brief description of the role.

    Generic responsibilitiesย 

    These responsibilities shall be the same for all positions with the same title. The responsibilities shall be short and essential. Details belong in theย Work- and Professional Development Plan.

  2. Welcome visitors to the NRC office, and direct them accordingly
  3. Adhere to NRC policies and procedures
  4. Supervise cleaning staff and ensure order and cleanliness of the MKN officeย 
  5. Receive, distribute and register faxes, mails, documents and reportsย 
  6. File administrative documents according to proceduresย 
  7. Ensure that utility bills (e.g. electricity, water, internet) are paid on timeย 
  8. Facilitate maintenance of NRC Office and NRC warehouse premises
  9. Assist in monthly staff update data preparation and some HR tasksย 
  10. Assist Field Office coordinator at any activities related with Government authorities and Ministries concerned, in order to accomplish the NRC activities in line with time frame.
  11. Assist Logistics Officer for fleet arrangement, warehouse arrangement, asset and inventory records and in procurement process as necessarily.

    Specific responsibilitiesย 

    These responsibilities shall be adapted to the particularities of the job location and context, phase of operation, strategic focus and type of programme intervention. This section shall be revised whenever a new employee is hired or the context changes significantly.ย 

    Administration

  12. Ensure availability of standard NRC forms (updated version) in at office.ย 
  13. Ensure that the office stationery and office supplies are ordered on time, raise purchase request.
  14. Arrange for staff and visitors flight bookings, transport and accommodationsS
  15. Assist in the ID card preparation, stamp preparation, business card preparation required by Admin/HR department.ย 
  16. Maintain NRC archive and NRC computerized filing tree for administration section according to NRC guidelines.
  17. Supervise cleaners to ensure that office cleanliness and hygiene standards are maintained
Assist Admin/HR Department in events/meeting planning and arranging as required.Assist HR/Admin Officer to organize meetings, trainings and events in MKN, including arranging venue and catering where required

Logisticsย 

Ensure availability of storage space and maintain orderliness and cleanliness of the warehouse/storeroom at all times, ensuring that only authorized staff are allowed to enter the warehouse/storeroomArrange car plan for program activitiesRecord and update the asset and inventory listAssist in the procurement processReceive, store, and distribute materials and supplies according to NRC procedures
