Work LocationWashington Expected duration5 months Duties and ResponsibilitiesThe United Nations Environment Programme (UNEP) is the leading global environmental authority that sets the global environmental agenda, promotes the coherent implementation of the environmental dimension of sustainable development within the United Nations system and serves as an authoritative advocate for the global environment. Under the direct supervision of the Regional Director, the incumbent- a. Provides direct assistance to the Director by maintaining the Director's calendar/schedule and monitoring changes for both internal and external meetings, acting as a virtual interface; researching, compiling, and organizing information to prepare briefings for meetings, events, and travel; coordinating all preparations for the Director's missions; and providing ongoing general logistical support to the Director. b. Support functions pertaining to the office communications and outreach function as required by the Director. c. Monitors processes and schedules related to the North America Office work-plan. d. Ensures smooth and efficient information flow to the Director and within the office more broadly; e. Provides policy support as requested by the Director on various environmental and climate related topics. f. Provides assistance in the coordination of service-wide activities (meetings, training, etc.), special projects and events. g. Attends meetings, prepares minutes, monitors follow-up activities. h. Responds or drafts responses to a wide range of correspondence and other communications. i. Manages, updates and further develops internal database; updates website; carries out quality control function for outgoing documents; proofreads and edits texts for adherence for format, grammar, punctuation and style. j. Responds to complex information requests and inquiries (e.g. answers requests requiring file search, etc.). k. Assists in the preparation of presentation materials using appropriate technology/software. l. Performs other relevant duties as assigned. Qualifications/special skills• High school diploma or equivalent is required. Training in Business administrative skills/ International affairs/ project management or related area is required. • 3 years of experience in general office support related experience with a high school diploma or a minimum of one (1) year with first level degree is required. • Experience in administration or project support is desirable. • Experience working in the area of public and/or international policy is desirable. • Experience working in the area of media or communication, and Knowledge of the UN system and culture and familiarity with the UN interagency networks is desired. • Proficient knowledge of O365 products incl. MS Outlook, and Proven interpersonal and communication skills. Exposure to cross cultural and multi-ethnic working environment is desirable. LanguagesEnglish and French are the working languages of the United Nations Secretariat. For this consultancy position fluency in English is required. Additional InformationNot available.
