This position is located in the Office of the Director of the Division for Treaty Affairs (DTA), United Nations Office on Drugs and Crime (UNODC), in Vienna. The incumbent will work under the direct supervision of the Director.

The incumbent will be responsible for the following specific duties:
•Assist in the overall administration of the division, i.e. provide substantive and administrative support in managing priorities and work flow of the Office of the Director; coordinate and monitor multiple and diverse activities and work processes to ensure that management directives and decisions are properly carried out and products delivered in a timely manner.
•Compile and analyze basic data from a variety of sources, summarizing and presenting conclusions for review by the Director.
•Serve as a communications link between the Director and senior staff; on behalf of the Director, keep others informed by conveying directives, reports, status updates and other relevant information; bring sensitive and urgent matters to the attention of the Director.
•Take full responsibility for time management and scheduling on behalf of the Director with appropriate consultation as required; effectively prioritize and resolve related conflicts and competing demands.
•Undertake representational duties on behalf of the Director, to include serving as first point of contact and liaison with senior officials and their offices, internally and externally as well as Permanent Missions.
•Screen and prioritize all incoming correspondence; compile relevant background documents and references; identify issues requiring the Director’s attention and refer others to relevant officer for appropriate disposition; monitor and follow-up on actions to be taken.
•Support and act as focal point for the completion and submission of staff members’ E-performance as well as the division’s quarterly travel plans.
•Research, compile and summarize background materials for use in preparation of reports, briefs, speeches.
•Independently handle a wide range of complex information requests and inquiries (e.g. answer requests requiring file or other research); respond, or draft responses, to a diverse range of correspondence and other communications.
•Support the Director in presentations to intergovernmental bodies and other meetings, compiling briefing notes and gathering relevant documentation, etc.
•Establish/improve administrative procedures and systems to ensure smooth functioning of the Division, including filing (paper and electronic) systems.
•Organize official receptions, meetings, etc., handling all necessary arrangements (e.g. room reservations, guest/participant lists, invitations, catering, seating arrangements, background documentation, special equipment, etc.).
•Prepare, process and classify confidential information.
•Handle a wide range of administrative duties/processes (e.g. leave and attendance records, timesheets, travel arrangements, visa applications, expense statements, telecommunications charges, equipment purchase, service and supply requisitions, conference room bookings, etc.).
•Perform other work-related duties as assigned.

High school diploma or equivalent. Supplemental courses/training in office management or other relevant office/administrative support field are desirable.Work Experience
A minimum of seven years of progressively responsible work experience, including provision of administrative and office management assistance to senior officials involving wide contact with diplomatic personnel and various offices of the United Nations System, is required.
Work experience in using computer applications such as word processing, spreadsheets, internet, slide preparation, etc. is required.
Work experience in using advanced functions of the UN’s standard computer applications, e.g. the ERP application such as Umoja, Lotus Notes (or other standard enterprise software), is desirable.
Work experience in website management, and graphics and desktop publishing software is desirable.
Work experience in interacting with Intergovernmental bodies, Intergovernmental and Non-governmental Organizations, Government officials, Ambassadors, Representatives of the media is desirable.
English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in English, i.e oral and written proficiency, is required.
Knowledge of German or another official United Nations language is desirable.
