Standard Job DescriptionSenior Finance Assistant Organizational Setting and Work Relationships The Senior Finance Assistant is normally supervised by a more senior finance colleague who defines work objectives and provides regular advice and guidance. The incumbent also refers to UNHCR Manuals and relevant policy papers on financial issues. The incumbent assists with the processing of financial transactions. S/he keeps frequent contact with staff at various levels in the office and with bank officials to exchange information. All UNHCR staff members are accountable to perform their duties as reflected in their job description. They do so within their delegated authorities, in line with the regulatory framework of UNHCR which includes the UN Charter, UN Staff Regulations and Rules, UNHCR Policies and Administrative Instructions as well as relevant accountability frameworks. In addition, staff members are required to discharge their responsibilities in a manner consistent with the core, functional, cross-functional and managerial competencies and UNHCRยฟs core values of professionalism, integrity and respect for diversity. Duties - Maintain financial records for project or other office accounts for which responsibility is assigned. - Record receipts and payments, assure accuracy of computation and completeness of documents and maintain continuing status of allotments against obligations. - Prepare recurring reports on assigned accounts, noting problems resulting from excess cost or less-than-expected receipts. - Prepare special reports to clarify problems or as requested for other reasons. - Calculate and compile cost estimates and projected budget requirements and assist in preparation of budget statements for area of assignment. - Prepare routine correspondence and maintain contracts with others to discuss matters concerning accounts and related assignments. - Maintain contacts with local banks to clarify questions pertaining to office bank accounts. - Brief and assist new staff on basic financial procedures and requirements with respect to payments, entitlements, banking and currency provisions and other requirements relating to accounts and finance. - Initiate correspondence to verify data, answer queries and obtain additional information on accounts and financial transactions, as required. - Perform other related duties as required. Les tรขches relatives ร  ces fonctions sont encadrรฉes par les rรจglements de lโ€™Organisation des Nations Unies et du HCR que le titulaire a ร  cล“ur dโ€™apprendre et de mettre en ล“uvre avec le soutien de rรฉfรฉrents au sein de lโ€™organisation.

La/Le titulaire assure รฉgalement, en rotation avec lโ€™Assistant.e principal.e chargรฉ.e dโ€™administration et en collaboration avec les collรจgues chargรฉs de la protection, la gestion de la rรฉception et notamment les besoins en prรฉ-accueil tรฉlรฉphonique et physique des visiteurs de la Reprรฉsentation. Le/La titulaire contribue ร  la sรปretรฉ et ร  la sรฉcuritรฉ du bureau.

Du fait de ses fonctions, le/la titulaire est en relation avec un public trรจs variรฉ et doit traiter tous ses interlocuteurs avec tact et respect et s'assurer que leurs besoins sont compris et transmis clairement aux destinataires finaux.

Le service administratif, et le/la titulaire en particulier, agit en synergie avec les unitรฉs de Protection, des Relations extรฉrieures et des Partenariats avec le secteur privรฉ, et soutient entre autres lโ€™organisation logistique des opรฉrations.

Le/la titulaire doit en consรฉquence savoir travailler en bonne entente avec les membres de l'รฉquipe et il/elle adopte une attitude orientรฉe client et rรฉsultats comme il/elle le fait avec les personnes extรฉrieures au HCR.

En tout รฉtat de cause le/la titulaire sait s'adapter aux nouvelles situations et fait preuve de flexibilitรฉ. Il agit dans le respect de la charte รฉthique du HCR et des principes de confidentialitรฉ et de rigueur.

Le poste est associรฉ ร  un contrat temporaire, valable pour 2 mois et renouvelable. Il s'agit d'un poste ร  temps plein, soit 40 heures par semaines, rรฉparties de 9h ร  13h et de 14h ร  18h lorsque le/la titulaire est chargรฉ.e de la rรฉception.
