Under the overall guidance of the IOM Tunisia Chief of Mission and the overall supervision of Head of M&D ย and the direct supervision of the Project Officer, the successful candidate will be tasked to assist the development, implementation, and reporting of diaspora engagement projectโs activities andย to overall support the migration and development unit.
Theย Project Assistant will undertake the following tasks:
- Support in the implementation and reporting of the project;
- Support the organization of workshops, meetings, and events (seminars and training) program and the preparation of their reports;
- Support in the monitoring of project progress and pro-actively suggest tracking and reporting tools;
- Assist in the coordination with public and private institutions to implement training sessions and coaching activities;
- Assist in the preparation of the activities workplans including logistics and budget. Support the Project Manager in reviewing the training costs and project budget lines and tailor the training programs as necessary;
- Assist in the organization of the technical and financial aspects related to the project progress including contracts with service providers, procurement of required items, processing of payments, submission of reports and all related documentation, and follow-up on monitoring and reporting tools;
- Provide logistical support for the organization of field missions, meetings, workshops (travel, accommodation, catering, preparation of communication materials.
- Support the smooth daily running of all administrative functions in a timely fashion, and in accordance with IOMโs regulations and procedures.ย
- Assist with the drafting of interim and final reports of the projects, in line with donor requirements and IOM standards and procedures, hence contributing to timely submission of such reports.ย
- Follow-up on documents (including purchase requests, purchase orders, requests for payments, vouchers, HR forms) and correspondence for signature, and liaise with IOM staff. as needed.ย
- Assist in creating and maintaining a proper documentation and systematic tracking and filing systems of administrative documents including the maintenance of the classification system (Hard/Soft copies) and databases of the relevant documents.ย
- Maintain the confidentiality and integrity of all related information on the project, especially data regarding applicants and selected beneficiaries of the project.
- Perform other related duties as may be assigned.ย Education
- Bachelors or Equivalent or Higher degree in Business Management, Business Administration, from an accredited academic institution and three (3) years of relevant professional experience;ย
- High School Degree/Certificate in the above fields with five (5) years of relevant professional experience. Accredited Universities are those listed in the UNESCO World Higher Education Database. ย Experience
- Experience and interest in entrepreneurship and international cooperation;
- Experience in administration and technical assistance to executives is an asset;
- Effectively coordinates actions with other implementing partners;
- Works effectively with local authorities, stakeholders, beneficiaries, and the broader community to advance country office or regional objectives;
- Prior work experience in an international organization and/or non-governmental organizations (NGO) is an advantage;
- Experience in Labour Migration, Migration and Development; Skills
- Capacity to work effectively and harmoniously within people at different levels within and outside organization and with colleagues from varied cultures and professional backgrounds.
- Candidate should be highly motivated with dynamic personality and the ability to work under pressure to meet deadlines.
- Ability to draft correspondence and communicate effectively
- High level of computer literacy (MS Office Word, Excel and Outlook); experience in handling web-based management system.
- Ability to analyse and interpret source information and data; capable of designing, reviewing and revisingย business processes to achieve efficiency.
