POSITION SUMMARY Position Overview: The Procurement Associate provides support to the Procurement Department. This includes direct support to Global Operations, Procurement, and administrative support to the Chief Operations Officer (COO). The Associate will also assist with upkeep of the SharePoint pages and sites, along with various trackers to ensure that content is current and updated. This position is based in downtown Little Rock, Arkansas and candidates will be expected to come into the office. POSITION RESPONSIBILITIES Major Responsibilities Processes and receipts invoices and credit card transactions. Reconciliation of multiple credit cards with accounts payable. Completes Procurement Review Checklist and verifies all required documentation is accounted for on core purchases. Transfer and retrieve data from Winrockโs financial system or electronic files as requested. Request documentation and update databases or records with latest information as it becomes available. This includes the Procurement WinShare page, OPF, and Collaboration sites. Correct and modify inaccurate files and records as advised by Procurement when needed. Arrange and organize electronic files as needed for Procurement & Operations. Take the lead in country registrations and registration renewal in close coordination with program staff. Maintain a database of country registrations and requirements and follow up with relevant staff to ensure all requirements are met. Manage Winrockโs Institutional Memberships โ budget, list maintenance, create payment requests. Coordination and planning of Annual Ops Meetings and other offsite events for regional, field, and home office staff. Provide administrative support to Chief Operations Officer (COO). Assist with Little Rock Office facility requests as needed. Prepares Power of Attorney letters, facilitates the certification process with the Secretary of State, manages inventory, renewals, and revocations. This role's responsibilities are subject to modifications as required by the organization's needs. POSITION QUALIFICATIONS Education: Bachelorโs degree in business administration or a similar discipline required. Related experience or the equivalent combination of education and experience preferred. Experience: A minimum of one year of relevant experience preferred. Computer/Technical Skills: Strong analytical and computer skills, especially spreadsheet and financial analysis. Proficient with Microsoft Office Suite; SharePoint a plus. Proficiency in Costpoint Financial System highly preferred. Strong software skills and advanced knowledge of spreadsheets and word processing. Accurate and precise attention to detail Skilled knowledge in generating process documentation. Assists team members when needed to accomplish team goals. Fast and accurate typist Communication Skills: Good interpersonal skills. Ability to write clearly and concisely. Language: Fluent English speaking and written communication are required. Required Travel: Minimal to no travel. Position-Specific Skills: Experience with basic procurement procedures preferred. Flexibility to assume a workload which frequently necessitates an adjustment of priorities. Strong organizational skills coordinating a variety of tasks simultaneously. Firm understanding and sense of the importance of paying attention to detail. Ability to lead work in a team-oriented environment. Ability to always demonstrate the highest level of ethical standards. Ability to manage multiple priorities. Physical Demands: This position typically requires sitting for long periods for office work, standing, bending, and reaching. Must be authorized to work in the United States. Salary: This position has a salary range between $47,000 - $49,500 with most candidates falling at the mid-point of the range.
