IT Administrative Coordinator (100%)

Role

The function of the IT Administrative Coordinator in the Information Technology Services (ITS) unit is a multifaceted role, combining financial oversight, procurement, delivery support, and administrative functions within the ISO Central Secretariat.
Such a function supports the budget planning and execution and leads procurement activities and vendor relationships in relation to Information Technology and Digital-related work that take place at ISO/CS (50%). This includes financial reporting to the board of the organization and various governance groups in relation to IT activities, investments, and future plans.
Complementary, such a function assists project implementation (with a focus on communication and marketing-related activities) as well as the definition, monitoring and update of internal processes and procedures (30%).
Additionally, this function also provides high-level administrative support to the Director of the unit as well as to managers in the conduct of their activities and those of their teams (20%).

Key responsibilities

  • Collaborate with IT management on budget planning and expense monitoring.
  • Manage purchase orders and invoices in line with organizational procurement guidelines.
  • Oversee vendor relationships, negotiate terms, and maintain contract compliance.
  • Prepare and distribute financial reports as needed.
  • Collaborate with cross-functional teams during project execution and product development in relation to communication and marketing-related activities.
  • Provide administrative support to the Director and Managers of the IT unit.
  • Manage and update IT-related documentation, operating procedures, and policies.
  • Collaborate with IT team members to enhance productivity and team cohesion. Report to: Director, Information Technology Services

    Qualification and Experience

  • University or post-graduate degree with more than 5 years of experience in similar position or in a position in line with the duties and responsibilities specified.
Team player with excellent interpersonal skills, and the ability to work with people at all levels of an organization.Strong ability in negotiation, financial planning and procurement activities.Excellent time management and organizational skills.Proficiency in English. Fluency in other languages is an asset.Analytical thinking and problem-solving mindset.Hands-on personality, autonomous, open and inclusive.Adheres to ISO's core values of Respect, Integrity, Collaboration, Growth Mindset, and Pushing Boundaries.
