Innovation in Citizen Services Division Project Assistant Consultant

About this position:
We are looking for a dynamic and innovative Project Assistant who will help us change people lives in Latin America and the Caribbean supporting the ICS team in the preparation, processing, and execution of Bank operations (including loans, technical cooperation, knowledge products, among others) and providing administrative support.
The mission of the Innovations for Citizens Services Division (ICS) is to strengthen institutional capacity to improve public sector management, increase transparency and integrity and citizen security, applying innovative digital solutions. Currently the ICS portfolio comprises about 65 loans and 129 technical assistance grants in execution.
What youโll do:
First responsibility:
- Support the processing of Loan Operations.
- Participate in drafting, proofreading, and processing operational documents, including project document annexes such as Development Effectiveness (DEM), Results Matrices, Risk Matrices, Environmental Safeguard Screening and Classification Forms, Environmental and Social Strategies (ESS), etc. before their submission to the different committees through the project cycle.
- Create and monitor calendar for the preparation of operations, ensuring teams understand their obligations and the relevant milestones for final approval.
- Maintain and update operation and mission related activities within Bank Systems.
- Participate in Analysis Missions to support the team in the preparation of annexes.
- Publish approved documents in the Bank's Internet website.
Second responsibility:
- Support the processing of Technical Cooperations.
- Participate in the drafting, proofreading, and processing of TC Abstracts, TC Documents and required annexes.
- Support the project teams of the division in the monitoring the TCs in order to comply with the established execution and closing times in the Convergence systems.
- Monitor fund expiration through the OPER020 system.
- Complete the life-cycle milestones of the operation in Convergence.
- Publish approved documents in the Bank's Internet website, as regulated by policy OP-102 and document GN-1831-36.
Third responsibility:
- Provide administrative and technical support to the IFD/ICS team in the processing, follow up and execution of other operational documents (PCRs, ESW and CIP).
Fourth responsibility:
- Provide administrative support in activities such as: travel authorizations, managing calendars and agendas, disseminating information to the Division among others.
- Provide logistical support in the organization of events coordinating activities with different areas of the Bank.
- Prepare letters of agreement and correspondence related to the organization and coordination of internal meetings, seminars, and workshops.
- Request hiring of consultants and consulting firms using the respective programs (ServiceNow, Ez-share, Convergence, BEO).
- Process contracts, payments, and related transactions in the Bank's systems.
The activities mentioned above form the principal duties of the position; however, this does not preclude additional responsibilities which may become necessary, to be approved by IFD/ICSโs Operational Specialist.
What you'll need:
- Education: Technical studies in business administration, international relations, social sciences, management, or related fields. Bachelorโs degree preferred.
- Experience: Minimum 2 years of relevant experience in the following areas: budget control, management reporting, event organizer, payments, contracts, PC (Word, Excel, and Power Point) and Internet abilities. Knowledge of Bankโs operational activities is desirable.
- Languages: Proficiency in Spanish and English, spoken and written, is required. Additional knowledge of French and Portuguese is preferable.

Requirements:
- Citizenship: You are a citizen of one of our 48-member countries.
- Consanguinity: You have no family members (up to the fourth degree of consanguinity and second degree of affinity, including spouse) working at the IDB, IDB Invest, or IDB Lab.
Type of contract and duration:
- Type of contract: International Consultant Full Time (CNS).
- Length of contract: 19 months.
