DESCRIPTION: The Wallace Center Grants Administration and Operations Manager will provide guidance and support for all Wallace Center staff to ensure program implementation is efficient, accurate, and in compliance with funder and organizational requirements. This position will serve as the interface between Winrock International operations staff and Wallace Center staff by staying up to date on the administrative and operational requirements, protocols, and best practices relevant to the unit. The position will create systems and standard operating protocols within the Wallace Center, serving as a clearinghouse and supplemental support for unit staff to quickly identify, pursue, and complete required administrative and operational tasks while remaining in compliance with funder and organizational requirements. This person will document, track, and address administrative and operational โpain pointsโ that emerge. Responsibilities will include: ยท Develop and maintain standard operating protocols (SOPs) and templates ยท Assist staff in identifying and completing correct processes and templates ยท Improve and maintain digital file management sites for the unit ยท Create and manage new staff hiring processes, on-boarding activities, etc. ยท Conduct regular unit training sessions on current Winrock systems ยท Tracking administrative and operational requests, including โpain pointsโ ยท Support team members with administrative and operational activities ยท Check compliance on grant administration and operations activities ยท Manage unit procurements (e.g. website plugins, subscriptions, etc.) ยท Serve as the Wallace Centerโs ambassador for Winrockโs Code of Conduct ยท Support Wallace Centerโs standardized tracking of operational metrics ยท Regularly provide updates to unit leadership and other cross-cutting staff ยท Participate in โAll Teamโ activities (e.g. meetings, training events, etc.) EDUCATION/ EXPERIENCE: The ideal candidate will have AT LEAST 4 years of relevant work experience OR a BA/BS degree in non-profit management, public administration, or related field; AND at least six additional years of work experience in any 3 of these areas: ยท Organizational Management: Experience overseeing administrative or operational task within a public or private entity, ideally a nonprofit ยท Grants Administration: Experience with philanthropic and governmental grant-making mechanisms, including compliance and reporting cycles. ยท Financial Transactions: Experience with routine activities (i.e. processing invoices, requisitions, etc.) and project-level budget tracking and closeout ยท Change Management: Experience establishing new systems in a team environment including training and supporting colleagues during roll-out ยท Communications: Experience with generating and supporting high quality written and verbal communications for internal audiences ยท Internal Relationship Management: Experience collaborating with a variety of different colleagues in a positive and consistent way DESIRED SKILLS: ยท High level of organization and attention to detail ยท Grant administration, particularly for funding from the U.S. government ยท Operational systems design, implementation, and management ยท Staff training and training resource design and management ยท File management system proficiency (SharePoint, Google Drive, etc.) ยท Project-level budget and organization financial transaction management. ยท Microsoft Office proficiency (Outlook, Teams, Excel, Word, PowerPoint) ยท Strong writing skills (English fluency) for internal audiences and mediums ยท Excellent interpersonal and communication skills for diverse audiences ยท Ability to meet deadlines and manage multiple concurrent tasks. ยท Ability to learn new policies, procedures, and best practices. ยท Ability to be self-directed and the ability to work effectively in a team.
