Position Intern Grants Department Grade

Reports to (position): Business Development Manager
Purpose: How does this post support Planโs strategy and mission? Provide support to the grants department in the follow-up key processes and tasks related to resource mobilisation and archiving
Dimensions of Role:
โข Report to the Business Development Manager
โข Support the monitoring process of resource mobilization initiatives
Typical Responsibilities - Key End Results of Position:

โข Keeps track of and reminds BDM of grants department activity plans
โข Tracks and reports on the progress of concept notes/proposals to be developed or in the pipeline
โข Proofreads concept notes/proposals and grant reports for grammatical and formatting errors
โข Supports the grants department with secretariat duties
โข Provide support in the process for Identifying & exploring new fundraising opportunities; review and summarize funding requirements from various donors; recommend response to fundraising opportunities;
โข Update all grant files at CO and liaise with project coordinators for the update of grant files at PIIAs
โข Follow up grants roster daily and sending reminders for submission of FR
โข Assist in the review of financial reports of projects. Downloading smartlist using sponsored programs in order to check Nrgrants and following up the corrections with project accountants.
โข Ensuring project files (both soft and hard copies) are complete and up to date. Ensuring that the project files have the FAD stage 3, signed FR and invoices, most recent mapping sheets, and any FAD addendums
โข Assist in grant set up in SAP. Verify that the mapping sheets corresponds to the PO in SAP. Follow up the creation of sponsored programs prior to derivation by grant accountant.
โข Assist in reviewing PO modifications by checking budget against FAD, expenditure against CJI3 report and commitments in CJI5 report before further review by grant accountant.

Qualification and Experience
โข A university degree in sociology or social sciences/Economic.
โข An advanced university degree (Masters) is an advantage
โข Background training, skills, and knowledge in general grants and community development processes is also an advantage.
โข Work experience in this or related disciplines will be an advantage
โข Experience on grants compliance requirements for a donor
