Position Summary The Gift Administration Coordinator (โCoordinatorโ) is an important member of the team responsible for the accurate and efficient annual processing of 250,000+ transactions from 80,000+ unique donor records. The Coordinator provides administrative support for the gift team, sorts and processes incoming mail, enters and maintains gift information in shared donor database and completes quality control measures to ensure accuracy for all incoming philanthropic revenue. The Coordinator is expected to develop a high level of understanding of Partners In Healthโs (PIH) current donor database, Salesforce, and related tools used in day-to-day work. This is a hybrid position that requires working in-person between 1-3 days/week in the Boston, MA office. Responsibilities Gift Processing and Record Administration (65%)
- Efficiently and accurately process assigned gifts and make biographical updates according to established business rules with at least a 98% accuracy rate.
- Process various types of gift batch processing as needed.
- Oversee creation of internal process documentation as requested by the Director, Gift Administration.
- Support the Senior Manager of Gift Processing in identifying and addressing routine operational problems and data processing errors encountered by Development staff.Gift Team Office Administration (30%)
- Pick-up and process incoming gift team mail to the Boston office, including depositing all $1k+ checks in-house and mailing other checks to PIH lockbox vendor.
- Serve as the main point of contact for all incoming and outgoing packages to PIH lockbox.
- Sort and process returned Development mail and make necessary updates to addresses and solicit codes in the donor database.
- Review materials returned by lockbox and scan-in to send to appropriate team members to resolve.
- Support various gift administration projects for giving from multiple streams including lockbox, online, third-party disbursements and matching gifts.
- Process recurring or one-time credit card transactions in FundraiseUp.Gift Team Customer Support (5%)
- Provide timely and professional support to internal and external PIH stakeholders related to checks and mail received in the PIH office via ticketing system, Zendesk.
- Serve as backup to other gift team members on various tasks, including gift imports and batch processing. Qualifications
- High school diploma or equivalent, and 1-2 years of data entry experience.
- Demonstrated ability to work meticulously, efficiently.
- Able to understand and follow policies and procedures, to problem-solve, and to accommodate change.
- Ability to assess and manage a variety of competing priorities in a time-sensitive manner and to meet deadlines with attention to detail and quality.
- Solid computer skills in a PC environment with the capability to master new software applications and technologies in database management.
- Knowledge of Salesforce or any customer relationship management database (or CRM) a plus.
- Excellent customer service skills.
- Exemplary interpersonal skills; ability to collaborate effectively with culturally diverse staff across departments and countries.
- Must be willing to work extra hours during peak periods, including occasional evenings and weekends.
- Able to work during the week between Christmas and New Yearโs Day.

Subject to the terms and conditions of the applicable plans then in effect, eligible employees may enroll in a 401(k) plan with employer match, as well as participate in organization-sponsored medical, dental, vision, short-term and long-term disability insurance, and basic life insurance plans for the employee and the employeeโs eligible dependents. Full time employees will receive 15 days of vacation, 12 sick days, 3 personal days, and 3 volunteer days in addition to paid time off the week of July 4th, and 11 additional holidays annually.
