Major Function
Responsible for the maintenance and integrity of the entire WWF fundraising operations revenue database including financial data, biographic data, and data reconciliation with other programs and financial systems throughout the organization. Special attention to reconciling gift revenue, managing, and tracking partner and membership level gifts. The position will be the point of contact for internal and external requests and inquiries related to donor accounts and gift processing.
Responsibilities
Monitors and ensures the accuracy of financial information entered fundraising operations database(s). Verifies and reconciles data entered with bank deposits recorded by lockbox vendors, online merchants, and WWF cashiers. Produces summary and detail income reports and designs new reports as needed to improve verification and reconciliation process.Support the development, communication, and training of current and new business processes within the Fundraising Operations team to streamline daily operational duties and improve the accuracy of financial information in the database. Helps develop and lead quality control metrics, training, and documentation of processes. Coordinates cross-training efforts within the department and assists with training and onboarding of new staff. Shares technical and practical knowledge to help develop their ability to resolve issues independently utilizing mastery-level knowledge in data capture, process, and technology.Uses various reports and information from databases for review and correction of gift and donor data. Attention to detail is required to maintain accounting principles that are essential to process gifts according to donor intentions in a timely and accurate manner mandated by professional and legal requirements. Investigates gift record issues and inaccurate gift entries to determine and perform corrective actions needed to ensure department deadlines are met and maintain data integrity.Processing of member donation items and giving through large charitable donation-management and grant-management platforms; facilitates reporting of these gifts to monitor and ensure the appropriate allocation of special campaign funding. Produces customized and detailed reports of gift and donor information for entry and import purposes. Assists in facilitating processes for new streams of revenue. Support in the management of external gift and data processing vendors. Communicates the daily processing activity and updates of the lockbox vendor amongst necessary teams. Works with Fundraising Operations leadership teams to communicate and resolve issues and/or develop processes to maintain and improve vendor accuracy and efficiency. Monitors quality assurance and makes recommendations for additional training and/or new and revised procedures as appropriate.Serves as the point of contact for Membership and Partner related inquiries from internal teams such as Member Solutions, Accounting, and external contacts. Uses institutional knowledge and judgement to research and resolve matters, which may include updating donor accounts and giving history to reflect giving accuracy and appropriate donor intent.Maintains the Adjustment Requests process in the CRM database. Monitors incoming revenue adjustment requests from multiple departments, processes adjustments in the database and communicates high touch requests to department contacts. Coordinates cross-departmental efforts and communications to ensure transparency and accuracy.Helps manage the reconciliation and functionality of all payment processors utilized by various WWF teams and external vendors for credit card processing.Other duties as assigned.Qualifications
A bachelorโs degree is required with a minimum of four yearsโ administrative, database, and/or financial experience. (This is NOT a fundraising role)MUST HAVE high proficiency in database operations and gift accounting. Blackbaud CRM or Engaging Networks STRONGLY preferredMust be able to organize and prioritize work, be proactive, take initiative, resolve problems, follow through, and ensure goals are met in a timely manner.
