Job Overview:

The Finance Manager accurately controls and manages the implementation of accounting systems for IRCโ€™s Salt Lake City and collects and processes financial data in order to provide management, donors, grantors, creditors, and others with timely, accurate and understandable information. This position is located in Salt Lake City, Utah and reports to the Deputy Director of Finance. This position is a member of the officeโ€™s finance and Salt Lake City managers team. The position supervises a team of 1-3 Finance Coordinators/Specialists depending on staffing.

Major Responsibilities:

Finance & Budget Compliance & Control

  • Ensure office compliance with IRCโ€™s accounting policies vis-ร -vis fund accounting as noted in IRCโ€™s finance manual and generally accepted accounting principles.
  • In coordination with Deputy Director for finance, prepare and administer IRC SLC Officeโ€™s annual and program budgets.
  • Assist Program leads in fiscal compliance matters, budget control, and help prepare program budgets.
  • Oversee the daily finances of one SLC office.
  • Analyses in depth all financial activities and keeps the Deputy Director for Finance and Program Managers advised of all situations which have the potential for a negative impact on internal controls or financial performance
  • In conjunction with the Program leads, monitor and track the account receivables and payables for SLC
  • Uploads program budgets in Integra

Monthly Close & Reconciliation

  • Reconcile field officeโ€™s database against HQโ€™s and SLC office database monthly and investigate and resolve difference in coordination with the Deputy Director for finance and Regional Controller.
  • Prepare month-end closing financial reports in coordination with Missoula FM and submit them to IRC NY as per scheduled due dates.
  • Prepare quarter and year end reports in coordination with Deputy Director for finance.
  • Ensures that monthly balance sheet reconciliations are completed and reviewed with the Deputy Director for finance.
  • Make appropriate month end adjustments journal entries including reallocation to proper source and account codes.
  • Accurately track and analyze expenses and revenue; advise leadership with the objective that annual revenue exceeds expenses for the office.
  • Supervises the reconciliation process for journal entries associated with bulk purchases and CIK inventory in coordination with appropriate staff.

Grant Management

  • Prepare and review the monthly actual-to-budget report specific to each grant with the respective program lead and coordinate the submission of the approved reports for regional review.
  • Provide clear and transparent guidance to programs on their respective projects, grants and contracts; clearly communicate and facilitate financial discussions with non-finance staff.
  • Assist program with the department's spending plan document as needed
  • Support Deputy Director for finance to prepare and coordinate the submission of financial reports to various donors in accordance with contractual obligations
  • Ensure the program lead collaborates with the finance team to prepare invoices for local grants, encompassing both performance-based and cost reimbursement contracts.

Financial Transactions & Reporting

  • Review accounting transactions to ensure proper coding and record transactions within IRCโ€™s accounting software.
  • Review and approve payment requests.
  • Prepare and coordinate the submission of financial reports to various donors in accordance with contractual obligations.
  • Supervise the officesโ€™ banking arrangements.
  • Prepare annual and quarterly cash budgets and submit monthly cash transfer requests.

Audits:

Facilitate external and internal audits as needed.

Provide high level leadership to assigned team in accordance with the IRCโ€™s People Manager Standards, including:

  • Weekly one-on-one meetings with Deputy Director for finance and regular team meetings
  • Effective delegation of duties and responsibilities
  • Consistent and ongoing feedback and communication
  • Provide extensive professional development support and coaching to team members, actively participate in all program meetings and staff development activities, and fully engage with the team.
  • Be an active, contributing member of the Leadership Team

Administration & Internal Controls

  • Work closely with colleagues to support efficient and effective office operations as they relate to infrastructure, contractors and vendors, inventory, equipment and supplies, protocol and procedures, and planning.
  • Coordinate the protection of the organizationโ€™s assets by implementing IRCโ€™s Internal Control procedures.
  • Review current service agreements for cost effectiveness and recommend changes as appropriate.
  • Maintain grant and contract files for all programs.
  • Develop and/or update office procedures to increase efficiency and effectiveness.

Additional

  • Comply with all policies, procedures and protocols of the agency.
  • Maintain professionalism, customer service, and IRC Way ideals when working with fellow employees and the individuals we serve.
  • Support general office logistics, such as office support and front desk, as applicable and feasible.

Job Requirements:

  • Bachelorโ€™s Degree with a minimum of 5 years nonprofit accounting experience.
  • Prior team management experience strongly preferred. Demonstrated ability to promote an organizational culture that reflects IRCโ€™s core values of service, accountability, integrity, and equality. Ability to lead in a way that recognizes that IRCโ€™s work is best accomplished through the true collaboration of individuals from many cultures with a great variety of skills and perspectives
  • Ability to analyze complex data and advise leadership on potential courses of action.
  • Proven computer-based accounting skills, including spreadsheets and other financial related software programs; experience using Microsoft Dynamics, Integra, Power BI or other similar integrated enterprise resource planning (ERP) software strongly preferred
  • Proficient in general office software programs like MS Word, Excel, email, and internet
  • Proven ability to work as a team member in a cross-cultural environment
  • Excellent verbal and written communication skills
  • Ability to prioritize and manage time effectively
  • Ability to effectively work with HQ finance staff
  • Fluency in English, written and spoken
