The starting salary for this role is GBP 36,380 per annum.

Main purpose of the role

The Executive Assistant (EA), EME will provide comprehensive and proactive support to senior EME leadership, consisting of ongoing support to up to 3 Directors as well as back-up cover support to CIFF\u2019s Chief Impact Officer (CIO) as needed. This role will be responsible for diary management, travel planning, event management and also has the scope to take on more responsibility, including cover for the EA to CIO on such important cross-organisational duties as the Pipeline Committee actions and other executive support. The position requires excellent administrative and project managerial skills, and a high level of efficiency.

The EME team are very driven and ambitious, and this role will be a very important part of the EME support team which includes the EA to the CIO and one other EA to EME directors.

Complex diary management for up to 3 Directors plus support where possible for their respective teams. Event planning; including internal team meetings and offsites. Support in the planning and co-ordination of high-level meetings, both internal and external. Travel planning and booking. Work with CIFF travel agents to organise flights, hotels, cars and visas. Timely processing of expenses for the EME Directors. Training to take actions at CIFF\u2019s fortnightly Pipeline Committee Meetings (minimum of 4 meetings per year). Work with the EME administrative team to ensure the smooth running of the EME team as a whole. Undertake projects that support the corporate agenda. General administrative duties including meeting room set up and team related expenses. Work as a team with other CIFF Executive Assistants to support smooth running of office infrastructure. Provide annual leave cover for other EME assistants where required. Scope for the position to grow as the individual becomes more familiar with internal process.

Skills & Experience

Excellent proven administrative experience working to senior leadership, in a busy and complex environment; solid experience as a scheduler and organiser Excellent attention to detail and a proactive nature for managing competing deadlines Strong interpersonal skills: engages with others to get the best out of them; works well as part of a team Professional, sound independent judgment, strong organisational and project management skills and the ability to be flexible as priorities and needs change Experience of taking detailed actions or strong desire to learn Highest ethical standards, confidentiality and personal integrity Outstanding communications skills, both oral and written Ability to work unsupervised, a motivated self-starter, with strong problem solving and multi-tasking skills Ability to work well under pressure Proficient in all areas of Microsoft Office, ability to learn new packages, when required Numerate, with a good understanding of basic budget processes Experience of working within the Not for Profit sector is desirable
