Position Overview

FP2030 is a global partnership of governments, civil society, multilateral organizations, donors, private sector partners, and researchers committed to supporting peopleโ€™s right to voluntary, quality contraception. Our vision is a future where everyone, everywhere has the freedom and ability to lead healthy lives, make their own informed decisions about using contraception and having children, and participate as equals in society and its development.

The FP2030 Support Network consists of five regional hubs: North, West and Central Africa; East and Southern Africa; Asia and the Pacific; and Latin America and the Caribbean, and North America and Europe, led by an Executive Director, supported by an Executive Directorate team, who reports to the Governing Board. Each Regional Hub is headed by a Managing Director supported by a small team and hosted by an NGO within the region. Together, these five business units comprise the FP2030 Support Network.

The HIPs Coordinator is responsible for providing logistical and programmatic support to the HIPs team. They, along with a second HIPs Coordinator position, will be responsible for coordinating all logistics for upcoming HIPs convenings, including for a large international event with an estimated 100-120 attendees, including staff and partners, expected to take place in Africa in the fall of 2023.

This is a full-time temporary position with an end date of December 31, 2023, and is based in Washington, DC (hybrid work schedule).

Essential Functions

  • Under the guidance and supervision of the Director, Scale-up and Innovation, provide overall administrative support to the HIPs team, including scheduling and calendar, meeting set up and logistics, and appropriate follow-up after meetings and events.
  • Under the guidance of the Director, Scale-up and Innovation, prepare presentations and background materials such as pre-reads, slide decks, or email correspondence for Senior Advisor as requested.
  • Conduct logistical coordination, note-taking, and supporting next steps and follow-up for HIPS planning meetings.
  • Coordinate travel arrangements (including preparing travel authorizations, travel advance requests, travel reimbursements, booking transportation and lodging, procurement and tracking of visas), ensuring that travel arrangements move forwards in a timely manner, stay on budget, and are in alignment with all FP2030โ€™s and UNFโ€™s processes and procedures.
  • Communicate promptly and clearly with all FP2030 partners attending HIPs events, including around supporting their flight bookings, hotel reservations, per diems, and other logistics.
  • Coordinate with key vendors for HIPs events, such as hotels, conference centers, and shuttle services, to ensure that vendors have complete and correct information to support HIPs events.
  • Collaborate with Coordinators to execute cross-team logistical support for larger international meetings and events, including coordinating cross-team logistical support for all HIPs events.
  • Liaise and collaborate with junior-level staff, including Coordinators and Associates, to ensure cross-team information sharing and coordination.
  • Additional duties and logistical support as assigned.

    Selection Criteria

    • Bachelorโ€™s degree required, with some work experience preferred.
    • 1-3 years of administrative experience required.
    • Must be fluent in English; French proficiency preferred (reading, writing, and speaking).
      • Strong attention to detail and demonstrated excellence working in a fast-paced environment.
      • Proven project management skills -- ability to move projects forward from inception to implementation to completion, high degree of organizational and multitasking skills.
      • Professional interpersonal skills and diplomacy; ability to work independently as well as member of a team.
      • Strong communications skills (speaking, writing, editing and listening).
      • Ability to develop, maintain and enjoy effective working relationships with people, internally, across an organizationโ€™s functions; and, externally, from a wide variety of types of organizations, cultural backgrounds, and with a wide variety of functional expertise.
