About this position
The Front Office assists project teams throughout the preparation, processing, and implementation of assigned operations. This support relates to loans, technical cooperations, project completion reports and related activities. Members of the team also provide support in monitoring activities as required by the supervisor of the consultancy.
You will work in CMF. The Connectivity Markets and Finance Division (CMF) helps member countries overcome the financial barriers that limit their productive development. Areas of work include financial inclusion, financial and fiscal risk management, financial transparency, housing finance, public debt management, green finance, among others
What youโll do
Primary responsibilities include, but are not limited to:
Operations Processing:
- Editing and proofreading documents related to technical cooperation and loan proposals, ensuring compliance with Bank editorial guidelines and established templates for operational documents.
- Ensuring quality of documents including consistency within loan and technical cooperation documentation. This is detail-oriented support related to the editing of project documents.
- Establishing and monitoring the processing timeline for assigned operations, proactively following up on relevant milestones to meet approval target date.
- Maintaining internal systems with up-to-date information regarding the status of assigned operations.
- Collecting, registering and maintaining project related correspondence and documentation in accordance to established procedures and policies.
- Publishing official documents in the Bankโs Internet website, as regulated by Bank policy.
- Participating in a broad range of other support activities as required by the supervisor of this consultancy.
Financial Execution and Monitoring of Technical Cooperations:
- Provide strategic support in managing contracting requests initiated through ServiceNow.
- Supporting the hiring process and payment processing of consultancies.
- Maintaining records of consultancies and deliverables financed with assigned technical cooperations.
- Monitoring consultantsโ contracts, expirations dates and payment schedules.
- Preparing periodic reports related to the monitoring of outstanding contracts.
- Liaise with the corresponding corporate units (FIN, ITE, GCM, LEG) for inquiries/incidents/ requests.
Event Planning and Logistics:
- Preparing drafts and sending communications on behalf of the Division Chief to Country Representatives and Department Manager.
- Coordinating preparations required for meetings, conferences, trainings, and other project-related events, as well as supporting events in Country Offices.
- Preparing and monitoring the eventโs budget.
- Create training materials regarding event logistics and internal protocols related to the coordination of dissemination events.
- Developing a calendar to keep track of the divisionโs events throughout the year.
Data Analysis
- Collect, process, and perform statistical analyses on large datasets to discover useful information, suggest conclusions, and support decision-making.
- Gather data from primary and secondary sources, ensuring the upkeep of databases.
- Categorize and interpret data and build the necessary reports and dashboards.
- Perform as a liaison between ITE and our Division, to coordinate the data management and access to datasets.
Other:
- Participating in a broad range of other support activities as required by the supervisor of this consultancy.
What you'll need
- Education: Associate degree in Business Administration, Computer Science, Project Management or any related fields, or other fields relevant to the responsibilities of the role.
- Experience: At least two year of relevant work experience in administrative tasks and Data Analysis, proven programming skills are a plus.
- Languages: Proficiency in Spanish and English, spoken and written, is required. Additional knowledge of French and Portuguese is preferable.

- Citizenship: You are a citizen of one of our 48-member countries.
- Consanguinity: You have no family members (up to the fourth degree of consanguinity and second degree of affinity, including spouse) working at the IDB, IDB Invest, or IDB Lab.
Type of contract and duration
- Type of contract: International Consultant Full-Time.
- Length of contract: 12 months.
