The International Water Management Institute (IWMI), a CGIAR Research Center, is seeking a motivated and detail-oriented professional to join our HR team and be responsible for supporting the processing of a high volume of global complementary workforce contracts from our headquarters in Battaramulla, Sri Lanka.
The successful candidate will be responsible for implementing efficient and accurate consultancy contract administration in accordance with organizational directives and procedures to ensure the timely delivery of obligations to agreed-upon standards.
DUTIES & RESPONSIBILITIES:
Assist in the implementation of consultancy administration, which includes recording requests, verifying receipt of required documents and associated data related to the consultancy life cycle \u2013 from request and contract generation to payment processing as per service requirements. Accurately format documents in MS Word, preparing contracts for review. Maintain accurate and up-to-date e-files, records, documentation, and databases. Process payments after checking the accuracy of the invoices against the consultancy contract and verifying required approvals are received. As necessary, assist with posting consultancy opportunities, screening candidates, scheduling interviews, and providing long lists to hiring managers. Provide documents-management support. Track and record tasks to inform workload analysis. Support the updating of the consultancy roster. As requested, compile data and draft reports related to consultancies. Perform other related duties as assigned.Requirements
EDUCATIONAL QUALIFICATIONS & EXPERIENCE:
Essential:
Diploma or bachelors in HR, business or any related field. At least 1-year successful experience handling contracts, data entry, records management and related tasks.
KNOWLEDGE, SKILLS & ABILITIES REQUIRED:
Essential:
High level of service delivery approach. Attention to detail, producing accurate, error-free work. Proficiency in Excel and Word. Ability to handle sensitive and confidential information in a professional manner. Personal attributes such as high standards of conduct, respect, flexibility, and sound work ethics. Ability to prioritize effectively and to plan, organize, implement, and carry out work activities with minimal supervision. Ability to establish and maintain effective working relationships in a multicultural and multidisciplinary environment, showing sensitivity and respect for diversity. Proven ability to manage multiple competing priorities under strict deadlines with minimal supervision and great attention to detail.
LANGUAGE PROFICINECY:
Excellent oral and written language skills in English, including effective listening and strong verbal and written communication abilities.
