Reports to: Director of Gift Administration

Position Overview:

The Associate for Gift Administration serves as an important member of the Gift Team responsible for the accurate and efficient processing of Partners In Healthโ€™s (PIH) philanthropic revenue, currently comprised of 250,000+ annual transactions and maintenance of 80,000+ unique donor records with annual growth expected.

The Associate will be responsible for maintaining processes related to all high-level, complex giving streams including giving from third-party vendors, matching gifts, wires and stocks, and PIH lockbox vendor. This role will collaborate closely with various organization leaders and stakeholders while maintaining appropriate confidentiality of sensitive donor information. The Associate is expected to skillfully and tactfully interact with donors and their representatives regarding gift receipting, recording, and crediting. This position requires exceptional attention to detail, independent judgment and discretion, and the ability to work with minimal supervision. This person is expected to have or quickly develop a thorough understanding of Internal Revenue Service (IRS) gift regulations, accepted gift standards and procedures, and fundraising database processes.

This is a remote position with the option to work from the U.S. Coordination Site office (Boston, MA) starting in August 2022.


Record complex donor transactions timely and accurately into the donor database, following established policies and procedures and with a special focus on interpreting and vetting related gift documentation. May include depositing checks, processing credit cards, and uploading gift documentation. Provide customer service for internal and external constituent requests received via Zendesk, phone, or email, and ensure appropriate resolution, escalating as necessary. Support donors or their representatives through the transfer of stock gifts or wire transfers. Establish and maintain effective relationships with development officers, finance team members and other key stakeholders. Support database integrity and maintain accurate records by making modifications and adjustments to update or correct donor and gift information. Provide back up to other team members as necessary and help train new staff on gift administration processes and tax receipting guidelines. Other projects as assigned.


3+ years gift processing experience, preferably in an organization using a lockbox caging company with high gift volume. Meticulous attention to detail and demonstrated ability to work independently, establish priorities, organize tasks, provide exceptional customer service and follow through in a fast-paced, high-volume environment. An understanding of or desire to learn gift policies and procedures, IRS charitable donation acceptance and receipting regulations as well as industry best practices. Skilled in using fundraising database software; interest and ability to learn and adapt to new database systems. Exemplary interpersonal skills; ability to collaborate effectively with culturally diverse staff across departments and countries. Proficient in Microsoft Excel and Microsoft Word. Bachelorโ€™s Degree or equivalent experience. Able to work December 26th โ€“ December 31st every year. Interest in social justice strongly desirable.
