About this position
We are looking for a dynamic, hardworking, service oriented and problem solver consultant that would take on the role of an Administrative Assistant for the CTI Division which is a part of the Institutions for Development (IFD) Department of the IDB.
You will work in the Competitiveness, Technology and Innovation Division, part of the Institutions for Development department (IFD/CTI). This team provides funding, technical assistance, and knowledge products to support governments in key action areas, such as business innovation, social innovation, entrepreneurship ecosystems, digital transformation, and productive development.
What youโll do
In the above context, the effective execution of resources as well as the preparation and execution of outreach and dissemination activities is key on accomplishing CTIโs objectives. This consultancy is meant to provide transactional and administrative support to the Divisionโs Chief and Resource Planner in the areas of administrative needs and coordination of events.
The contractual will carry out the following activities:
- Assist in the design, preparation, implementation, and development of outreach tasks needed including events and dissemination activities of the division.
- Provide support in processing individual consultancy contracts as well as firm contracts requests under the procurement policies of the Bank and follow up on their administration.
- Assist the Division on the processing of clearances for external events participation through the Front Office and Secretaria according to Bankโs guidelines (AM-130).
- Assist on travel logistics and accommodation of the team and/or special guests as needed.
- Processing of financial requests such as payments, letter of agreements, invoices, vendor requests etcโฆ linked them to the appropriate budget accounts and maintain and organized record.
- Assist on the internal organization of archives and files as well as to maintain its updating and organization through the Bank systems.
- Facilities management and technical support (ITE) coordination as requested and needed.
- Assistance to the Division Chief in all administrative aspects when needed.
- The activities are part of the positionโs main responsibilities; however, they do not exclude additional activities that may be necessary for completing tasks.
What you'll need
- Education: Technical Studies or Associate degree in Business Administration, finance or accounting or any related field.
- Experience: At least 2 years of work experience at an international organization considering the support and management of administrative activities. Knowledge of the IDBโs corporate information systems is a plus.
- Languages: Proficiency in Spanish and English, spoken and written, is required. Additional knowledge of French and Portuguese is preferable.

- Citizenship: You are a citizen of one of our 48-member countries.
- Consanguinity: You have no family members (up to the fourth degree of consanguinity and second degree of affinity, including spouse) working at the IDB, IDB Invest, or IDB Lab.
