About the position ย
We are searching for an Analyst responsible for providing efficient and effective administrative, logistical, and operational support to the research area Multifunctional Landscapes, under the direct supervision of the Program Management Officer (PMO) of the program.
The position will be based in the operations center of the Americas, located in the Campus of Palmira, Colombia.
Requirements
Key Responsibilities ย
- Act as the focal point for processing requests made by research staff, in compliance with institutional policies and procedures, to contribute to the efficient delivery of projects.ย
- Perform the project administrative tasks, including logistic support to the project staff, travel arrangements and provide logistics and administration arrangements for meetings, conferences, seminars, and workshops.
- Provide administrative and financial backstopping and guidance for the staff with respect to payments, travel claims, and other requirements.
- Support and guide research staff in the process and required documentation for the hiring of interns, visiting research fellows, national and international research staff and consultants.
- Support research staff in the hub in raising the request for the acquisition of goods and services and following up with the responsible person for implementation liaising with accounting staff about payments as well as other relevant admin duties as assigned by the Supervisor.
- Assist the programs in the preparation of budget estimates and expenditure forecasts by analyzing and monitoring the situation of resources as compared to planned activities.
- Prepare recurring reports as scheduled and special reports for the lever director, PMO and project leaders, maintaining and updating spreadsheets and databases for internal control purposes.
- Maintain an overview of the financial situation of the projects, to ensure that timely administrative support is provided in general and particular areas.
- Work with research staff, PMOs, and administrative staff to identify improvements between research and administrative teams for greater efficiency.
Qualifications and requirements
ย
- Bachelor's degree in administration, industrial engineering, logistics, accounting, international relations, or related discipline with a minimum of 2 years of relevant experience.
- Proficiency in Microsoft Office package / Excel (advanced).
- English level Intermediate to advanced level of English (oral and written).
