Work LocationBogota Expected duration3 months initially Duties and ResponsibilitiesThis position is located in Bogota, under the Supply Chain Management Section of the United Nations Verification Mission in Colombia (UNVMC). The Warehouse Assistant at this level reports to the Chief Centralized Warehouse Team, and/or Centralized Warehouse Officer. The incumbent will be responsible for supporting warehouse operations by receiving, storing, organizing, picking, packing, and dispatching goods while maintaining inventory accuracy, ensuring workplace safety, preparing reports and Updating Umoja. Duties & Responsibilities โ€ข Assist in storage control, Movement and receipts of inventory โ€ข Match physical quantities against receipt/release documents and ensure that inventory records match physical inventory โ€ข Update and track inventory files and shipping documents, ensure proper filing routines โ€ข Control that the stacking of items is appropriate and safe โ€ข Check the completeness of documents, handling and filing routines, in the storage area and in the warehouse office (receipt, signatures, updating, etc.) โ€ข Ensure the correctness of documents, such as Incoming/Outgoing Shipment reports and follow up on pending purchase order. โ€ข Report inventory discrepancies โ€ข Security and safety checks โ€ข Assist in the production of the weekly/monthly Stock Reports with relevant stakeholders in the office as per the office instructions/procedures. โ€ข Undertake quarterly physical verification exercise of inventory counting and controlling. โ€ข Updates all physical verification records and data entry in Umoja. โ€ข Maintains daily accurate and auditable property records in the electronic inventory management system for property control and accountability in conformance with administrative instructions, guidelines, manuals and Standard Operating Procedures (SOPs). โ€ข Verify and Update stock locations in the electronic inventory management system. โ€ข Assists in monitoring the execution of contracts for the disposal of property and supplies, including all types of waste material. โ€ข Assists in the preparation of equipment for write-offs and processing of disposal cases. โ€ข Interacts with other property management stakeholders and providers of services, in particular Technical Units, Procurement Section, Joint Logistics Operations Center, and Local Property Survey Boards, as appropriate. โ€ข Performs other duties as required. Qualifications/special skillsHigh school diploma or equivalent is required. A minimum of (5) five years of experience in the field of inventory control, property management, Warehouse Management, logistics, procurement, or other related fields is required. The minimum year of relevant experience is reduced to three (3) for candidates who possess a first Level degree or higher in the relevant field of work. Experience working with Microsoft Excel, Word, Power Business Intelligence, Umoja and Inventory Management System is desirable. Experience working in Warehousing is desirable. A valid driverโ€™s license is desirable. A technical or vocational certificate in Project Management such as PMP, Prince2, Lean or similar is desirable. LanguagesEnglish and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English and Spanish is required.
