The incumbent will work under the direct supervision of the Senior Information Technology Assistant leading the Service Design and Provisioning Team (SDP) and the overall supervision of the Service Delivery Officer in the Office of the Chief, ITS. ResponsibilitiesWithin assigned authority, the Telecommunications Assistant will be responsible for the following specific duties: Telephone and mobile: โข Act as ITS focal point for official mobile telephony for users, providers, Vienna Based Organisations (VBOs) and for procurement to ensure optimal technical operation and support, including the distribution and support of services and devices. โข Monitor usersโ consumption and analyse market developments in order to implement changes to mobile plan for voice, data and roaming. โข Coordinate transition to new providers. โข Maintain and update databases related to telecommunication inventory and billing. โข Act as focal point for purchasing of new hardware related to mobile devices from relevant providers and act as contact point for UNOV/UNODC offices including field related operations; In addition, be responsible for keeping inventory records related to telecommunication and billing administration (sim-cards, hardware, codes, etc.) as well as for evaluating replacement products. โข Participate in the technical evaluation of new IT tools and databases and recommend appropriate tools. โข Provide assistance and support with regard to mobile communications-related issues. โข Coordinate VPN Management of the mobile phone carrier network through a Web based management tool to assign new users change/update of sim cards remotely. Audio and video conferencing (VC): โข Coordinate audio/video conferencing setup and support including for high level management (DG) meetings. โข Coordinate the update and maintenance of audio/video conferencing equipment. โข Perform technical evaluation for procurement; evaluate new equipment compatibility and resolve connection difficulties through research and recommend video equipment software and hardware products. โข Conduct analysis and research on improved methods of single and multiple site connections through domestic and foreign services. โข Support video conferencing and other standard web-based platforms (like Webex, Teams and Zoom, etc). โข Coordinate with technical support staff of the buildings management service, other external service providers and various ITS units. โข Coordinate with UNIDO conference technicians and CMS for online or hybrid meetings related to Video conferencing solutions. โข Assist colleagues as a backup in the Webcasting office. Administration and coordination: โข Maintain and update databases related to telecommunication tasks (Inventory, Central Registry, etc.). โข Distribute work assignments and monitor progress. Liaise with other areas of ITS to facilitate completion of service requests. โข Coordinate clearances related to telecommunication issues. โข Assist in guiding the team when needed. โข Act as ITS backup focal point for Web accounts management. Other duties: โข Prepare training material for usage of various communication devices. โข Provide technical and administrative support and training for new VC staff and mobile support staff when required. โข Assist with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making. โข Assist with visualizations and updating information material such as web pages or brochures. โข Responsible for tasks which are upcoming in the Level 2 Support, like checking the databases and clearances. โข Perform other work-related duties as required. Work ExperienceA minimum of seven years of progressively responsible experience in office automation related functions including software, local area networks, hardware/software configuration and troubleshooting as well as telecommunications related equipment and matters is required. The minimum number of years of relevant experience is reduced to five for candidates who possess a first-level university degree or higher. Solid knowledge and experience of working with videoconferencing devices is required. Work experience in providing mobile communications services and support is required. Work experience in providing conference support is desirable. Work experience in guiding teams is desirable. Experience within the United Nations Secretariat, United Nations Common System or other similar international organization is desirable LanguagesEnglish and French are the working languages of the United Nations Secretariat.
