This position is located in the Office of the Under-Secretary-General of the Department of Safety and Security within the Strategic Planning and Policy Service (SPPS). The incumbent reports to the Senior Security Coordination Officer - Policy under the general supervision of the Director/Chief of SPPS to whom he/she also provides administrative support.
Within delegated authority, the Staff Assistant will be responsible for the following duties:
• Performs, under minimal supervision, the full range of office management and administrative support functions for SPPS, including coordination of service-wide activities, training, special projects and events, etc.;
• Maintains liaison with the Executive Office and with senior officials in other units regarding on-going programmes and other administrative matters; monitors processes and schedules related to the service's outputs, products, tasks, etc.
• Provides direct assistance to SPPS by maintaining calendar/schedules; monitors changes and communicates relevant information to appropriate staff inside and outside the immediate work unit;
• Ensures smooth and efficient information flow within the unit, by conveying directives, reports, status updates and other relevant information; brings sensitive and urgent matters to the attention of the manager;
• Assist in the development and maintenance of office administrative procedures and systems;
• Maintains files (both paper and electronic) and databases for SPPS;
• Screens all incoming correspondence to the Policy mailbox; identifies issues requiring the
manager's attention and refers others to relevant officer for appropriate disposition; monitors and follows-up on actions to be taken;
• Acts as the Focal Point for the administrative support and the coordination of all IASMN meetings as well as weekly video conferences including the development and distribution of agenda and administrative instructions, the maintenance of the participants list, the coordination of conference room set-ups, the uploading of conference room papers and other administrative requirements for building access;
• Prepares and drafts a wide range of correspondence, emails and other communications in a timely manner; uses standard word processing package to produce a wide variety of large, complex documents and reports;
• Carries out quality control function for outgoing documents; proofreads and edits texts for adherence for format, grammar, punctuation and style;
• Supports and assists in responding to complex information requests and inquiries (e.g. answers requests requiring file search, etc.);
• Assists in the preparation of presentation materials using appropriate technology/software;
• May provide some specialized support to unit (e.g. technology support, editing, desktop publishing, etc.);
• Maintains the service's activities calendar/schedules; monitors changes and communicate
relevant information to appropriate staff inside and outside the immediate work unit. Organizes official receptions, meetings, etc., handling all necessary arrangements (e.g. room reservations, guest/participant lists, invitations, catering, seating arrangements, background documentation, special equipment, etc.);
• Manages, updates Policy, IASMN and related pages on UNSMIN website; generates reports on Policy queries and communications;
• Orients new staff and interns to relevant administrative procedures and practices and provides general assistance and administrative assistance to policy officers;
• Performs a variety of administrative duties (e.g. meeting organization, reservations, office supplies and equipment orders, etc.), including providing guidance and support in preparing and/or processing administrative requests/documents (e.g., UNLP and visa applications, etc.);
• Performs other duties as assigned.

High school diploma or equivalent is required.Work Experience
A minimum of five years of experience in general office support, administration or related area is required.
Experience in using computer applications and office software such as Microsoft Office is required.
Experience in registry and record keeping systems such as TRIM/HP Records Management Software, Sharepoint etc is desirable.
Experience in drafting, formatting and editing documents is desirable.
Experience in travel planning, records management and correspondence management is desirable.
Experience in using Enterprise Resource Planning (ERP) systems, such as SAP, for travel, time and attendance and office supply requisitions is desirable.
English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Knowledge of another official United Nations language is an advantage.
