Senior Registration Assistant
Organizational Setting and Work Relationships
The Senior Registration Assistant is a member of the Registration team. The incumbent is responsible for supporting all activities related to registration, which may also include functions related to reception, filing and data management. S/he provides counselling to, and responds to queries from, asylum seekers and refugees regarding UNHCR's registration procedures and their rights and entitlements. S/he liaises closely with protection staff and partners to ensure timely identification and referral of persons of concern (POC) for protection follow up. The Senior Registration Assistant may assist in compiling and analysing information related to registration activities in the Operation. The incumbent may provide interpretation and/or translation services in cases for which s/he has the required language competencies.

Duties
- Assist in the implementation of registration strategies and methodologies for POC.
- Conduct registration interviews when required in accordance with registration standards and guidance.
- Provide counselling to, and responds to queries from, asylum seekers and refugees regarding UNHCR's registration procedures and their rights and entitlements.
- Maintain accurate and up-to date records and data related to all individual registration cases.
- Identify persons with specific needs and ensure timely referral to protection follow-up as required.
- Collaborate with protection staff and/or partners in the delivery of assistance and programming, including provision of identity and entitlement documentation.
- Draft correspondence and reports relating to registration activities in the Operation, when required
- Provide statistics and draft reports related to registration data, as requested.
- Act as interpreter and translator when needed.
- Refer cases to other units within the office and to implementing partners as necessary.
- Draft and submit reports and statistics related to registration.
- Support the identification and management of risks and seek to seize opportunities impacting objectives in the area of responsibility. Ensure decision making in risk based in the functional area of work. Raise risks, issues and concerns to a supervisor or to relevant functional colleague(s).
- Perform other related duties as required.

Desired Candidate Profile Operational context & Nature of the Position:
The Senior Registration Assistant is member of the Registration Unit, and will be based in Um-Rakuba camp, Gedaref camp. This is based on his duties and also ensuring that the staff member spends a substantial percentage of his/her time with the people we work with and for with focus on registration for quality and informed protection. The camp was opened in 2020, and it is one of Gedaref camps hosting the largest number of Ethiopian refugees totaling to 15,610 (December 2025). The camp continues to receive a number of refugees and asylum seekers, secondarily displaced population from various parts of Sudan mainly from Khartoum due to the encampment policy in view of enhancing security by the government following the war in the country that broke out in April 2023.
The incumbent will be reporting to the Registration Associate based in Gedaref who will also be providing technical supervision to the incumbent, whereas the Assistant Field Officer in Um-Rakuba (UMR) camp, will administratively oversee the activities of the incumbent. At that level, the incumbent in liaison with the supervisor will oversee all registration activities in the camp to ensure standards. He will lead/coordinate and actively involve in the designing and implementation of all registration activities in the camp in collaboration with the registration team comprised of UNHCR and Commission of Refugees (COR).
Desired candidate profile
- The candidate must be familiar with the refugee operation and conversant with registration tools.
- Knowledge of the local context and familiarity with East Sudan operation especially with mixed movement.
- Experience of working in remote environment (deep field locations) and familiar with context.
- Capacity building skills and knowledge, especially DM-Data Management, and Data collection methodologies, competencies in preparation of and delivering presentations and training facilitation skills.
- Archive and backup database systems, ensure security of database perform database administrator functions.
- Assist in development of new applications/databases needed by the UNHCR offices/Units in area of responsibilities to perform their tasks smoothly.
- Demonstrated knowledge/skills in quality communication and report writing
- Experience in coordination and collaboration especially with the FDPs and other stakeholders including government entities
- Knowledge to coordinate with the GIS/IM colleagues to ensure that data collection is compatible with GIS.
