Background

Interpeace is an international organisation for peacebuilding that strengthens the ability of societies to manage conflict themselves in sustainable and non-violent ways. Interpeace designs and delivers its work tailored to each situation in partnership with local partners and communities, based on extensive consultation and research. Interpeace also ensures that the processes of conflict management and change that it supports are integrated at all levels of society including local communities, civil society, government and the international community (we call it a ‘Track 6’ approach).

Interpeace was originally established by the United Nations and remains its strategic partner. Position in the Organisation and General Overview

The Senior Executive Officer is a member of the Executive Management Unit which oversees and provides direction for all of Interpeace’s activities. The Executive Management Unit is based in Geneva.

The Senior Executive Officer provides substantive support to the President, including providing policy advice; overseeing and contributing practically to the delivery of a full range of administrative support to the President, especially in helping to prepare and support the President’s schedule of engagements; contributing actively to a culture of inclusivity, openness and collaboration in the organisation; overseeing and guiding the effective preparation and delivery of meetings of the Governing Board and its subsidiary bodies; preparing draft documentation such as policy papers as well as speeches and correspondence for the President; and, interacting on the President’s behalf with diverse Interpeace stakeholders including staff and senior external contacts.

The Senior Executive Officer works under the direction of the President, and is required to undertake some overseas travel.

Duties and responsibilities

Analysis and Policy Advice

  • Prepare briefs, presentations, talking points and speeches for the President

  • Undertake research and monitor publications and other information sources relating to peacebuilding generally and the work of Interpeace specifically in order to provide reviews, analysis and advice to the President

  • Advise the President on proactive initiatives and reactive responses to peacebuilding developments

  • Identify opportunities to enhance the organisation’s positioning, impact and effectiveness

  • Provide policy advice to the President on peacebuilding and institutional matters

Management

  • Manage and direct the Senior Executive Assistant and Intern including performance management, mentoring and other relevant human resources management

  • Oversee the Unit’s budget and be accountable for management of it, including planning, expenditure, reconciliation and reporting as required

Coordination

  • Act as a liaison between the President and Interpeace senior management and staff, contributing towards ensuring that information is flowing in both directions and that necessary action occurs

  • Coordinate with colleagues in other units and offices to ensure alignment of priorities and plans with the President’s agenda and programme, and lead in resolving competing priorities

  • Contribute to fostering coordination and information exchange across the organisation in liaison with the Vice-President/Chief Operating Officer

Support for the President

  • Plan the President’s programme including coordination of proposals and inputs, and oversee its implementation
  • Meet with the President regularly to ensure receipt of necessary policy and administrative support and ongoing effective delivery of her/his programme
  • Ensure that all relevant information, briefs and other materials for the President are prepared, completed and ready on time, liaising with other Interpeace staff and drafting/editing contributions
  • Attend meetings with the President and prepare draft meeting records, notes for file etc
  • Draft correspondence
  • Monitor and ensure implementation/follow-up of decisions taken by the President
  • Contribute to the President’s external and internal communications including drafting (articles, op-eds, etc), in coordination with the Communications team
  • Support the President in building and maintaining key relationships
  • Support the President’s fund-raising work including research and outreach to/follow-up with/ongoing contact with donor representatives
  • Liaise with external actors, including at senior levels and with government officials, and represent the President
  • Travel overseas occasionally in support of the President

Governing Board

  • Support the President’s relationship management with the Governing Board, including serving as the organisation’s focal point for communication and coordination with members of the Board, the Bureau of the Board and other ad hoc committees that might be established from time to time

  • Draft regular updates from the President to the Governing Board in order to keep its members abreast of news and developments within the organisation

  • Draft and edit background papers for Governing Board, including on issues of strategic importance to the organization

  • Organise and ensure effective convening of the semi-annual meetings of the Governing Board including overseeing logistics of the meeting

  • Serving as rapporteur at the meetings of the Board

  • Organise and ensure effective convening of other ad hoc Board-related meetings (such as the Bureau) including teleconferences as required

  • Oversee, facilitate and provide advice on timely implementation of decisions and follow-up actions from governance-related meetings

Special initiatives

  • Take the lead on or support various special projects, including conceptualising and developing proposals and organising events
  • Ensure that special initiatives are well-rooted in the organisation and can be smoothly transferred to the responsible division/unit/office
  • Liaise with prospective partners and donors as needed to prepare the ground for the implementation of special initiatives

General

  • Build and maintain a network of relationships with external interlocutors at different levels to support the effectiveness and impact of the President’s work and networks
  • Undertake other assignments as determined by the President or Vice-President from time to time
  • Incorporate and promote gender perspectives and diversity to the fullest extent possible in the responsibilities above

Candidates with relevant qualifications, experience, a tertiary degree, and fluent in English and French, are invited to apply.

Relevant experience and qualifications may include:

Education

  • Tertiary qualification in International relations, political science, peace and conflict, or a related field

Experience

  • 5-7 years of related work experience; a combination of headquarters and field experience desired
  • Research and writing, including policy papers and speeches

Competencies

  • Excellent spoken and written English
  • Good working knowledge of French
  • Knowledge of peacebuilding and conflict prevention issues
  • Demonstrated ability to manage many tasks at once and to work within short deadlines whilst remaining focused
