Background The Central Support Services Division (CSSD) is implementing mechanisms related to facilities management, a professional field concerned with the coordination of space, infrastructure, personnel, and organisational processes. Facilities management involves managing physical assets and environments to align with user requirements. It includes integrating maintenance, safety, efficiency, and comfort to support organisational objectives regarding the built environment. The Project Coordinator (Consultant) will report to the Head of the Administrative Services Section and will be located within the Administrative Services Section of the Central Support Services Division at headquarters in Amman. The Project Coordinator will serve as a member of the project team supporting a new agency-wide initiative. 2. Objectives The Project Coordinator oversees facility management projects, including construction, maintenance, renovation, and office optimisation. Key tasks include supervising site workers and contractors for safety and quality compliance, tracking project progress against scope, timeline, and budget, and managing milestones and approvals. The role involves conducting site inspections, preparing progress reports with risk assessments, and facilitating communication among stakeholders to resolve issues efficiently. Responsibilities also cover ensuring regulatory compliance, assisting in procurement processes, maintaining documentation, and daily inspection and reporting on facility operations at UNRWA HQA, including cleanliness, maintenance, and task follow-up. 3. Specific Outputs/Tasks include but not limited to: Duties Responsibilities, impact, and work relationships of the post: • Coordinate all facility management projects, including construction, maintenance, renovation, rehabilitation works and optimization of the offices. • Supervise on-site construction workers and contractors to ensure compliance with safety and quality standards. • Monitor the implementation of facility-related projects against the approved scope, timeline, and budget. • Follow up on project milestones, required approvals, and logistical arrangements to ensure timely delivery. • Conduct regular site inspections and prepare progress reports, identifying risks, delays, and corrective actions. • Facilitate coordination between internal departments, contractors, and other stakeholders to resolve issues and expedite works. • Ensure that construction and maintenance works are compliant with health, safety, and environmental regulations. • Support in drafting TOR, cost estimation, BOQ, procurement processes by providing technical inputs, verifying completion of deliverables, and participating in inspections, contract management and SLA processes. • Maintain proper documentation and records of all facility management activities. • Daily inspection and reporting of facility management operations at UNRWA HQA premises, including monitoring the cleanliness of all areas, identifying and documenting snags or maintenance issues, coordinating with relevant teams for timely resolution, and ensuring overall improvement of facilities through follow-up and completion of tasks. • Perform other related duties as assigned. 5. Qualification Requirements Academic and Professional qualifications (as applicable) Academic Qualifications: • A university degree in Civil Engineering, Construction Management, Facility Management, or a related field Experience: • Minimum of 4 years of relevant experience in project coordination, construction supervision, or facility management • Knowledge of the overall business environment of the host country and relevant laws, regulations, and practices is desirable Technical Skills: • Proven knowledge of construction methodologies, health and safety standards, and quality control • Ability to read and interpret technical drawings and construction plans • Strong project management, coordination, and reporting skills Other Requirements: • Ability to work under pressure and manage multiple tasks simultaneously • Strong interpersonal and communication skills • Proficient in MS Office applications and project management tools Language Excellent written and spoken English is essential. Proficiency in drafting documents is required. Arabic is an asset.
