Duty Station: Kiev, Ukraine with missions in the Oblasts of ฤernivci and Kharkiv.
Duration: 11 months - full time (July 2024).
Role and Responsibilities:
- Define, coordinate, and monitor the implementation and management of financial strategies, policies, internal control, and all administrative and financial activities;
- Oversee and update the financial plan and procurement plan for projects, in consultation with the Administrative Desk and Project Coordinator;
- Contribute to the formulation of field dispatch requests;
- Ensure proper management of project administrative and accounting records, including those required by auditors and donor;
- Ensure proper management of cash, bank accounts and related reconciliation on a monthly basis;
- Update and monitor PN loco, via management software and send c/c/b & cash statements, reconciliation to the Administrative Desk;
- Ensure proper administrative management of national staff (salaries, contracts, vacation, leave);
- Ensure direct management and training of national administrative staff;
- Prepare the necessary documentation for the implementation of prescribed procedures for purchases and works (quotations, tenders, awards, etc.);
- Process interim and final financial reports, under the supervision of the Administrative Desk;
- Maintain constantly updated inventory of all assets owned by the project;
- Keep the list of reliable local suppliers and contracts with suppliers constantly updated;
- Keep the contact list of expatriate and local staff constantly updated and send it to Human Resources each time it is updated.
Professional Requirements:
- At least 3 years of experience in emergency/cooperation project management/administration, preferably with public donors (AICS/EU);
- Excellent knowledge of administrative and accounting management, as well as AICS procedures;
- Mastery of computer tools (Office package, internet, e-mail, accounting software, etc.);
- Excellent knowledge in tender management;
- Ability to manage, train and coordinate local administrative staff;
- Management and administrative/procedural skills.

- Resilience to stress and ability to adapt to changing circumstances;
Qualification:
- Bachelor's degree in business administration or related languages;
- Excellent knowledge of English, written and oral.
