The WAT Research Group within the IIASA Biodiversity and Natural Resources (BNR) Program is seeking a Program and Project Officer to provide the group with financial and budget support as well as general administrative assistance. This role involves collaborating closely with various departments and stakeholders to ensure the smooth operation of the group.
main tasks and responsibilities
- Support the WAT Research Group Leader in the development, monitoring, and adjustment of budgets and financial plans, encompassing both internal and external funding.
- Provide financial overviews, including resource allocation and budget scenarios while ensuring compliance with IIASA financial rules and policies, and external funding.
- Participate in budget meetings with senior members of staff, and cooperate closely with the IIASA Finance and Grants (FG) Department.
- Assist in the preparation of grant proposals and project reports, in collaboration with the IIASA Grants Management (GM) department.
- Facilitate project planning and assist principal investigators (PIs) and other team members with contract negotiation, providing any additional information requested by funders.
- Initiate and track the internal electronic authorization process for a variety of requests, including contracts, procurement, travel, visitors, conferences.
- Organize and facilitate group and project activities – internal and external meetings, conferences, events; take and circulate minutes as needed.
- Efficiently and independently handle correspondence and communications from various stakeholders and partners.
- Assist with dissemination, communication, report publishing and outreach activities in collaboration with the IIASA Communications and External Relations (CER) department.
- Promote teamwork in accordance with IIASA core values.
- In line with the team spirit that prevails at IIASA, the incumbent may occasionally work on other tasks assigned by their superiors, that might not be directly related to this appointment but where the post holder has relevant experience and skills, and/or a shortage of immediate personnel capabilities requires such.
skills and qualifications

A university degree (or equivalent), or several years' closely related work experience in a similar, preferably international environment.

Full fluency in English with strong text editing skills; a good working level of German desirable.

Experience in project administration, including financial planning, budgeting, and reporting, and an advanced understanding of scientific funding mechanisms and financial auditing practices.

Ability to work independently and in close cooperation with others, and maintain professional and productive relationships with colleagues of diverse nationalities and backgrounds.

Advanced office management and excellent organizational skills, and the ability to work through regular interruptions while still meeting deadlines.

Strong IT skills, including advanced knowledge of MS Office products; preferably some experience with web content management systems and social media websites.

Excellent interpersonal and communication skills.

Solution- and detail-oriented, even when carrying out routine administrative tasks.

Flexible working attitude and willingness to take on other tasks to benefit the program/institute.

Willingness to take initiative and explore/learn new tools that facilitate program and project management.
Appointment Terms
The selected candidate should ideally be available to take up the position in March 2024 or as soon as possible thereafter. We offer an initial fixed-term, full-time (40 hours per week) employment contract for one year, with the intention to extend to an open-ended contract thereafter. Eligible applicants wishing to work part-time hours may be considered.
Duties will be carried out at the IIASA premises in Laxenburg, near Vienna in Austria.
WE OFFER
- An attractive salary which is exempt from income tax in Austria and negotiable, based on the qualifications, skills and experience of the selected individual and at least
EUR 47,000.00.IIASA salaries are:
