Title: People & Culture Assistant
Location: Maiduguri
Supervisor: Senior People & Culture Officer
Basic Function
The People & Culture Assistant provides administrative and transactional support for the country officeโs People & Culture (P&C) operations in Maiduguri. This role is responsible for maintaining accurate personnel records, supporting recruitment and onboarding activities, coordinating logistics for training, and assisting with payroll and benefits administration. The P&C Assistant ensures high-quality customer service to staff and helps maintain compliance with P&C policies, procedures, and local labor regulations.
Duties and Responsibilities:
- Support recruitment processes and arranging interviews, liaise with candidates and administer application forms as required and conduct reference checks,
- Follow-up on approvals for all P&C documents such as signing of requisition forms, contract letters and other documents.
- Printing of ID cards for new hires and sending forms completed to IT for email addresses
- Prepare employee, internship and contracts and follow-up to get the required documentation
- Support the entire administrative employee lifecycle from entry to exit
- Manage the filing and archiving of documents (hardcopy and electronic filing)
- Organize the administrative induction of newcomers (briefing of new staff on P&C policies and procedures)
- Responsible for P&C reporting monitoring, build and update specific P&C information, reports and checklists (employeesโ list, headcount, entry/exit checklists, turnover, etc.)
- Support on ad hoc projects to reinforce collaboration/information sharing between P&C, Finance and IT teams and help reinforce the overall general support services
- Assist in preparing introductory letters, transfer letters and external correspondence for vetting.
- Look for opportunities for improved P&C administration effectiveness
- Performed any other tasks assigned.

- Excellent communication, presentation and interpersonal skills.
- Excellent oral and written English language communication skills.
- Excellent planning and organizational skills, with proven administrative skills and knowledge of office practices, procedures and administrative systems, including filing systems.
- Knowledge of human resources practices. Ability to manage competing priorities effectively in a constantly changing environment, meet deadlines and work calmly under pressure.
- Strong coordination and time management skills.
- Strong teamwork skills with the ability to both support colleagues and request support as and when required.
- High level of confidentiality.
- Integrity-Honest encourages openness and transparency, demonstrates highest levels of integrity.
- Ability to draft well-written, professionally presented documents.
- IT experience โ Proficient in Microsoft Office and database applications.

Minimum Qualifications & experience
- Bachelorโs degree in human resources management, Business/Public Administration or equivalent with 1-3 years relevant administrative experience, preferably working in an established P&C international environment.
- Demonstrated success in multicultural environments is an advantage.
- Member of HR professional body is an advantage.
