FUNCTION

The Operations Manager is a key contributor in building Heifer USA into a high performing, development organization in collaboration with Heifer International. Heifer USA believes small-scale farmers can achieve sustainable rural livelihoods. We provide training and support in regenerative agriculture, connect farmers to processing and profitable and reliable markets. The Operations Manager will provide direct support to Heifer USA Deputy Director and lead coordination across Heifer International integrating with all functions: operations, finance, legal, human resources, information technology, risk management, communications, public relations, and business analysis. As well as ensuring support for and advancement of the mission of Heifer International, the position will represent the needs/realities of the Heifer USA team in the development of relevant institutional policies and procedures. This position will be accountable for contributing to the shaping of a culture where knowledge exchange and learning from results informs practice at organizational strategy levels. The Operations Manager will oversee and manage the day-to-day operations of Heifer USA. They will work closely with the Heifer USA leadership to ensure that the organization runs smoothly and efficiently.

This role will require traveling to Heiferโ€™s ranch located in Perryville, AR approximately 2-3 times a year for staff retreats. Candidates who live in Arkansas have the possibility of traveling more often to Heifer Ranch at the discretion of Deputy Director - Heifer USA.

RESPONSIBILITIES & DELIVERABLESA. Operational Management (40%)

Be the first point of contact to Heifer functions for Heifer USA: coordinate and trouble-shoot Heifer USA needs, questions and issues; and provide accurate information and representation of Heifer USA to Heifer International stakeholders.Ensure support for the execution of annual management plans for Heifer USA with clear framework and practices to enable high performance, timely and accurate business information and analysis for decision making, and an agile and accountable environment.Work with Heifer USA team and Heiferโ€˜s Legal Services team to develop and maintain legal contracts with partners and consultants.Ensure clear timely and accurate information and communication to all Heiferโ€™s internal stakeholders and for external audiences on the program and operations of Heifer USA.Support fundraising efforts, including reporting information requirements for donor accountability and stewardship.Review diverse, innovative business plans, budgets, and financial estimates with Heifer USA partners.B. Accountable for daily financial operations, and risk management (20%)
Ensure support in efficient disbursement of funds to partners and associated reporting processes according to the terms of the agreements.Supervise staff accountants based at Heifer Ranch.Oversee daily coordination and transaction entries.Support HQ annual audit procedures.Lead Heifer USA budget development, budget control and budget forecasts.Ensure timely donor financial reports.Ensure risk management policies and procedures are followed.C. Coordinate and/or ensure distribution of reports, project updates, and internal award documents including project reports to donors, working with Heifer USA.Inform Heifer USA directors and team of accountability issues with projects. Create and/or edit documents, presentations, reports, emails, proposals and other items as necessary.Represent Heifer USAโ€™ s needs to the creative team at HQ.Ensure requested collateral is developed as needed to support Heifer USAโ€™s work.Work with Heiferโ€™s IT team to ensure quality systems and infrastructure.D. Lead HR recruitment and staff development activities (15%)
Support the recruitment of all open Heifer USA positions by crafting job descriptions, working with Heifer International HR on job postings, reviewing resumes, coordinating interviews and on-boarding.Assist Heifer USA leadership to set appropriate performance objectives for Heifer USA staff and manage documenting progress on objectives.Assist Heifer USA leadership in addressing HR issues and performance coaching of staff.Lead efforts related to team, individual and group professional development.E. May perform other job-related duties as assigned (5%)

Bachelorโ€™s degree in business, nonprofit management, marketing, or sustainable development plus seven (7) years of related experience.Operational experience in a nonprofit, B-corp, cooperative or related organization.Minimum of three (3) years in a supervisory or leadership capacity.

Preferred Requirements:

Masterโ€™s degree in a related field.Additional education or experience in human resource management or organizational development preferred.Direct experience in budget development and monitoring.

Salary Information:

Starting salary for this position is $70,973 - $88,000 USD annually. Placement within the range will be based on the competency level of the candidate:

โ€ข Midpoint: Experienced and fully competent. Can independently perform all responsibilities of the job
โ€ข Maximum: Highly experienced and can perform at a higher level than expected
